Thorpe Recovery Centre is a not for profit organization dedicated to providing client-centered and community-based addiction services. We are an accredited facility, providing Residential Treatment, Medically Supported Detox and a Family Program. From our initial six clients in 1975, hailing from the Lloydminster area to the 700-plus individuals now helped annually from across Western Canada, Thorpe Recovery Centre continues to tailor each person\xe2\x80\x99s treatment experience to meet their individual needs. Located on 34 acres in the rural setting of Blackfoot, Alberta, staff are able to access a serenity garden area on the edge of its ponds that is surrounded by a 5k walking path. The facility is over 54,000 square feet has 12 medically supported detox beds and 62 inpatient addiction treatment beds where staff enjoy bright and open lunch/coffee areas and a wellness room for self time. Nature and Scope Under the general supervision of the Chief Executive Officer (CEO), the Executive Assistant (EA) is responsible for a variety of administrative duties in support of the CEO and Board of Directors include but are not limited to meeting minute notation and distribution, scheduling appointments and drafting correspondence. The EA is also required to maintain confidentiality and professionally interact with employees, management and the public. Responsibilities and Duties: Administration

  • Provide confidential senior administrative and office management support to the CEO.
  • Maintain calendar of the CEO as necessary.
  • Coordinate logistics as needed by CEO for programs including meetings, tours, special projects, and events.
  • Aide in communications both internally and externally and create reports, correspondence, agendas and minutes.
  • Provide accurate word-processing support by composing and/or editing a variety of documents this includes many highly confidential correspondence, memoranda, contracts and proposals.
  • Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary.
  • Manage out of town meetings and scheduling and provide travel planning where necessary.
  • Review, evaluate, and distribute priority correspondence for the Board of Directors and CEO.
  • Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other persons.
Board Administration
  • Provide contact and communication for the Society
  • Provide support for Board Meetings, Annual Membership Meetings, plus other Board Committee meetings and board functions as requested.
  • Specific board responsibilities include:
o Attendance at meetings, coordinate meeting logistics and set-up support as needed o Assemble and distribute meeting agendas and packets as needed o Note-taking and official record keeping. Including meeting minutes o Record revisions of Board Policy Manual and Bylaws o Facilitate member access and inquiries regarding board records and meeting o Compose correspondence as directed by the Board of Directors o Provide administrative support to Committees of the Board
  • Other duties as required
Qualifications, Experience and Skills
  • Post-Secondary Bachelor\xe2\x80\x99s Degree in the area of Office Administration, Business Administration or a directly related field.
  • 3-5 years\xe2\x80\x99 experience in an Executive Assistant or Administrative role preferred.
  • Strong knowledge of office procedures and practices
  • Keen attention to details
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point.
  • Resourceful and flexible
  • Proven organizational and time management skills.
