Position Overview
We are seeking a highly organized and detail-oriented Executive Assistant & Bookkeeper to support our CEO and leadership team. This unique role combines financial management with executive-level administrative support, ensuring that both operational efficiency and fiscal responsibility are maintained.
The ideal candidate will be comfortable wearing "two hats": managing the day-to-day bookkeeping functions while also providing high-level executive assistance to the CEO in a fast-paced environment.
Key Responsibilities
Bookkeeping (40-50%)
Manage accounts payable and accounts receivable.
Prepare bank reconciliations and financial reports.
Assist with payroll processing and staff expense reimbursements.
Maintain accurate records of invoices, receipts, and budgets.
Work closely with external accountants and auditors.
Track funding, grants, and program expenditures.
Executive Assistant to the CEO (50-60%)
Provide direct administrative support to the CEO, including managing calendars, emails, and correspondence.
Schedule and coordinate board meetings, staff meetings, and external appointments.
Prepare presentations, reports, and meeting materials.
Maintain confidentiality of sensitive organizational and client-related information.
Assist with special projects and organizational initiatives as assigned.
Qualifications
Diploma or degree in accounting, business administration, or a related field (or equivalent experience).
Proven experience in bookkeeping and/or executive administrative roles.
Proficiency with accounting software (e.g., QuickBooks, Sage, or equivalent) and Microsoft Office.
Strong organizational, time management, and multitasking skills.
Excellent communication skills--both written and verbal.
Ability to work independently, exercise sound judgment, and maintain confidentiality.
Experience in residential recovery or non-profit settings is an asset but not required.
Job Type: Full-time
Pay: $50,000.00-$70,000.00 per year
