Position Overview



We are seeking an Executive Administrator to support the leadership team at Peak Performance Renovations. This role goes beyond traditional administration -- it combines permitting, client coordination, and business systems with estimating responsibilities through platforms such as Houzz. The Executive Administrator will serve as the central hub between office operations, clients, and the field, ensuring smooth processes, accurate estimates, and effective communication.

Key Responsibilities



Administrative & Office Management

Oversee day-to-day administrative operations, including document management, scheduling, and correspondence. Manage permitting processes, ensuring applications and approvals are handled efficiently. Maintain organized records for contracts, permits, and financial documentation

Estimating & Sales Support

Handle Houzz project inquiries, create preliminary estimates, and communicate with prospective clients. Assist in preparing formal proposals, change orders, and supporting documents. Coordinate with David and Ethan to ensure estimates reflect accurate costing and company standards.

Client Coordination

Serve as a first line of communication for inbound inquiries via Houzz, email, or phone. Support clients through the permitting and project preparation process. Provide timely, professional responses that represent the company's values and standards.

Marketing & Communications

Maintain and update company social media accounts (Houzz, Instagram, etc.) with project updates. Coordinate with leadership to ensure consistent branding and professional presence.

Qualifications



Proven administrative experience; background in construction or trades an asset. Strong organizational and multitasking skills. Excellent communication skills (written and verbal). Experience with estimating or customer-facing platforms is an asset. Proficiency in office software (Outlook, excel, word, and QuickBooks familiarity is an asset). Ability to work independently and manage multiple priorities.

Job Types: Full-time, Permanent

Pay: $19.00 per hour

Expected hours: 25 - 35 per week
