Executive Administrator

to support the Chief Executive Officer and strengthen the internal operations of our Foundation.

This is a pivotal position for a polished, detail-driven administrator who enjoys working at an executive level and can handle sensitive information with absolute discretion.

Reporting directly to the CEO, the Executive Administrator provides high-level support, manages Board of Directors administration, and ensures the smooth functioning of our office. The right candidate thrives in a dynamic environment, anticipates needs before they arise, and brings calm, clarity, and structure to complex workflows.

Your Role



Provide confidential executive support to the CEO, including complex calendar management, correspondence, meeting preparation, and travel coordination. Serve as the primary administrative liaison to the Board of Directors; prepare agendas, meeting packages, minutes, records, and logistics for all Board and committee meetings. Support organizational operations by managing internal meeting schedules, office coordination, and administrative workflows. Represent the CEO at internal meetings when required, ensuring accurate documentation and timely communication of outcomes. Support communications, governance processes, and internal documentation with accuracy and professionalism. Build strong working relationships with Board members, partners, donors, and internal team members.

Who We're Looking For



Post-secondary certificate or diploma in office or business administration (or relevant experience). Minimum 5-7 years of senior administrative experience supporting executives or boards. Exceptional communication, organizational, and problem-solving skills. Proven ability to manage confidential and sensitive information with discretion. Strong proficiency with Microsoft 365 (Outlook, Teams, SharePoint, Word, Excel). Ability to manage competing priorities and adapt in a fast-paced environment. Experience in a non-profit, healthcare, or governance setting is an asset.

This position is located in Regina, based out of the Regina Centre Crossing office.
