We're looking for a reliable, detail-oriented
Executive Administrative & Logistics Assistant
to support the CEO directly. This position is ideal for someone who enjoys variety -- from dispatching trucks and creating invoices to organizing data and assisting with day-to-day operations.
Key Responsibilities
Coordinate
transport dispatch
and communicate with drivers and carriers
Create and manage
Bills of Lading (BOLs)
and shipping documentation
Handle
invoicing, purchase orders, and data entry
in Excel and QuickBooks (training provided)
Maintain and organize documents using
Microsoft Office (Word, Excel, Outlook)
Prepare and edit
PDFs and forms using Adobe Acrobat
Assist in
FTL product sales coordination
and logistics tracking
Manage emails, scheduling, and follow-ups for the CEO
Attend
1-2 weekly meetings
(in person) for reviews and planning
Support ongoing administrative and operations tasks as needed
Qualifications
Proficient in
Microsoft Word, Excel, and Outlook
Strong understanding of
transportation and dispatch processes
Experience creating
BOLs, invoices, and shipping paperwork
Familiar with
Adobe Acrobat
(filling/editing PDFs)
Excellent written and verbal communication skills
High attention to detail and strong organizational habits
Ability to multitask and manage time effectively
Comfortable using
iOS and cloud-based tools
Experience in trucking, logistics, or brokerage is a strong asset
