Executive Administrative Assistant

Job Description

Our client is an established organization within the public sector looking for a detailed and dedicated Executive Administrative Assistant to join their team. In this role, you will be responsible for providing excellent support to an Executive and assist with legal administrative functions. The ideal candidate is exceptionally organized, process-oriented and an excellent communicator. Location: Delta, BC
Expected Salary Range: $70,000 - 75,000 per year
Responsibilities:

  • Handle and manage general administrative needs to support the Executive - including calendar management, scheduling meetings and appointments, screening incoming calls and emails
  • Coordinate all travel arrangements and itinerary management
  • Prepare expense reports and provide accounting support with payment processing
  • Manage and compile files as needed for internal and external records
  • Ensure legal documents related to the organizations' functions are completed, administered, corrected in a timely manner; in collaborative with the respective departments
  • Generate meeting agendas, minute-taking and distribution to relevant team members
  • Prepare reports, documents, and presentations, including handling of confidential correspondence
  • Organize planning logistics for events, meetings and workshops
  • Provide coverage for administrative department, as needed
  • Assist with additional projects, as required
Requirements:
  • Degree or Diploma in Office/Legal Administration, Business or relevant field of study
  • Minimum 3 years' experience in executive and/or legal administration
  • Experience with event planning, and working with InDesign is considered an asset
  • Proficiency with MS Office Suite and competent technical skills
  • Excellent verbal and written communications skills
  • Highly organized with effective time management abilities
  • Possess a meticulous eye for detail and accuracy
  • Able to multi-task and be adaptable in a fast-paced setting with tight deadlines and changing priorities
  • Excellent interpersonal skills with expert ability to be proactive and resolve issues
  • Have a collaborative team-focused approach and willing to pitch in where needed for support
  • Valid B.C. Driver's License and access to personal vehicle is required
  • Typing speed of 60 WPM is required
