We're a fast-growing jewelry company expanding across North America, and we're looking for an

Executive Administrative Assistant

to work directly with the Owner/Founder and Sales Manager. This is a pivotal role focused on taking ownership of administrative operations, streamlining processes, and supporting the overall flow of day-to-day business.

We're looking for someone highly intuitive, proactive, and grounded. You should thrive in a dynamic environment, be energized by bringing order to chaos, and have strong communication skills paired with a healthy sense of humour. Key Responsibilities:



Collaborate closely with the Owner and Sales Manager to identify, take over, and improve administrative tasks and workflows. Streamline inboxes, digital systems, and internal communications to increase efficiency and reduce bottlenecks. Maintain up-to-date A/R records and process payments accurately and promptly. Support wholesale customer relationships over the phone, ensuring smooth service and directing inquiries appropriately. Make travel arrangements, coordinate team events, and manage documentation. Assist in order processing across multiple platforms, ensuring accuracy and timely fulfillment. Take initiative to identify areas where processes can be improved and help implement those changes.

Exceptionally organized, detail-oriented, and reliable. A natural problem-solver with a strong sense of initiative. Calm, positive, and focused under pressure. Open to feedback and collaborative with a "no-task-too-small" mindset. Excellent communicator, both written and verbal. Comfortable with confidential information and professional interactions. Tech-savvy with strong email and web-based application skills. Prior experience in operations, sales support, or executive administration preferred. Strong work ethic and ability to work independently A strong appreciation for jewelry and a true interest in the company and its vision

Pay: $25.00-$30.00 per hour

Expected hours: 30 - 40 per week
