About the position We specialize in providing tax strategies for a diverse range of clients, including small businesses and multi-jurisdictional families. Our goal is to help our clients effectively minimize their tax burden through careful planning and implementation. We offer a comprehensive range of U.S. compliance services, including the preparation of U.S. and Canadian personal income tax returns and all required information returns. Our team includes U.S. Certified Public Accountants (CPAs), IRS Enrolled Agents, and Canadian Chartered Professional Accountants (CPAs). We are currently seeking an Executuve Administrative Assistant for our U.S. and Canadian personal/private client tax services. This role requires exceptional English communication skills, organizational skills, and attention to detail as well as the ability to interact professionally with clients. The candidate will be responsible for developing and executing innovative digital marketing strategies. A willingness to learn is essential. Responsibilities will include:

  • Preparing and handling legal documents
  • Correspond with the CRA and IRS regarding applications, tax queries, and responses on behalf of clients
  • Efficiently respond to requests from tax team, clients and other professionals
  • Maintain electronic filing systems in accordance with firm policies and procedures
  • Managing client management system
  • E-file returns to ensure timely filings
  • Drafting client proposals
  • Prepare weekly monitoring reports
  • Assembly and posting of tax returns
  • Sending documents for signature
  • Generate and e-file CRA authorization forms
  • Create and update new business memos in internal client management databases with comprehensive details
  • Courier arrangements
  • Ensure accuracy and completeness of client records
  • Process client address changes
  • Provide administrative support to tax team as required
Qualifications for the role include:
  • Preferred bachelor\'s degree in office administration, business, accounting, finance, or a related field
  • Proficiency in Microsoft Office tools (Word, Excel, PowerPoint, Outlook)
  • Familiarity with tax principles and regulations
  • Demonstrated professionalism in handling sensitive situations
  • Strong organizational and project management skills
  • Excellent oral and written communication abilities for client and team interactions
  • Strong attention to detail and accuracy
  • Experience with tax software and electronic filing systems is a plus
  • Self-motivated with the ability to work independently and collaborate with a team
  • Commitment to exceptional client service and confidentiality
  • Strong problem-solving skills
  • Proficient in record-keeping for accuracy and completeness
  • Adaptability and willingness to take on additional responsibilities
  • Adherence to ethical standards
  • Availability for peak tax seasons and meeting deadlines
