We are seeking a highly organized and detail-oriented individual to fill the position of Executive Administrative Assistant. The ideal candidate will be able to provide high-level administrative support to our President & COO, Northland Properties & President & COO, Hotels, and manage the daily operations of the office.

Responsibilities:

  • Manage the executive team\'s calendars, including scheduling appointments, arranging and optimizing travel, and coordinating meetings.
  • Enable remote decision-making, keeping projects on track, including the planning and coordinating of events, (e.g., meetings, conferences, and company gatherings).
  • Draft and proofread correspondence, communication memos, and other written materials as required by the executives.
  • Ensure that meetings begin on time with prep material delivered in advance.
  • Answer and screen calls, take messages and respond to inquiries when appropriate.
  • Maintain and organize files, records, and other documents.
  • Process and track expense reports, invoices, and other financial paperwork.
  • Liaise with other departments, external partners, and vendors as necessary.
  • Perform research and prepare reports as needed.
  • Manage special projects as assigned by the Senior Leadership team.
  • Provide general administrative support as required.
Qualifications
  • Bachelor\'s degree preferred.
  • Minimum of 2 years of experience in an administrative or executive support role.
  • Excellent organizational, time management, and problem-solving skills.
  • Strong attention to detail and accuracy.
  • Ability to prioritize tasks and manage multiple projects simultaneously.
  • Exceptional written and verbal communication skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Ability to maintain confidentiality and discretion with sensitive information.
  • Professional demeanor and strong interpersonal skills.
