A full-time permanent position with a competitive hiring salary range between

$68,000 to $78,000 per annum

, depending on experience, qualifications, and relevant skills. The Opportunity



We are hiring an

Event Manager

to lead the seamless delivery of donor cultivation and stewardship events, including the Foundations signature annual event. Delivering an exceptional experience for those involved from planning to execution and post event evaluation.

Collaborating with the philanthropy and marketing teams, this role works to strengthen donor relations and advances the Foundation's fundraising goals. There is a particular focus on inspiring the participation of a committed donor community in a milestone project - the redevelopment of the Richmond Hospital campus. This includes a new acute care tower, the Yurkovich Family Pavilion, which is anticipated to open in 2030.

The ideal candidate will bring a high level of responsibility, organization, and exceptional attention to detail to this hands-on role. Working closely with internal teams, donors, sponsors and volunteers this role provides an opportunity to foster positive and impactful experiences for everyone involved.

Key Areas of Responsibility:



Leadership and Strategy



Leads events by understanding the audience and tailoring experiences to create meaningful engagement. Collaborates with internal teams to ensure events meet their objectives and align with the Foundation's strategies. Oversees and mentors the Event Coordinator, fostering collaboration, accountability, and professional growth. Delegates tasks effectively to achieve successful execution of responsibilities. Monitors and conducts performance evaluations and implement improvements to enhance efficiency and event quality. Builds and maintains strong relationships with donors, sponsors, partners, and volunteers, acting as a key representative of the Foundation. Collaborates with the Philanthropy team to implement donor engagement strategies, ensuring personalized engagement for key donors. Evaluates events by analyzing budget vs. actual results, historical trends, and key metrics such as revenue, expenses, attendance, and donor engagement by segments to assess return on investment (ROI) and inform strategic decisions. Remains consistently alert to potential risks, proactively flags concerns to management, and recommend solutions as appropriate. Event Planning and Implementation



Plans and executes events, including the Foundation's signature event and donor engagement activities, ensuring alignment with organizational goals. Develops critical paths and event briefs to guide planning and execution. Manages all event logistics from initial stages to execution, ensuring a smooth process, including on-site leadership at Foundation events. Oversees budgets, contracts, invoicing, and financial reporting for events. Conducts outreach and solicitation to secure exclusive live auction packages. Manages event registrations, including RSVP tracking, communication, seating plans, and reporting. Fosters relationships with in-kind donors, solicits and tracks donations, writes descriptions, and supports stewardship processes. Ensures events comply with legal, health, and safety requirements, including obtaining necessary permits and insurance. Collaborates with the Volunteer Coordinator to define volunteer needs and provide necessary training for events.

Event Writing and Communications



Collaborates with the Marketing and Philanthropy teams to create pre- and post-event communications, including invitations, speaking notes, sponsorship packages, live auction descriptions, thank-you letters, and surveys. Works with the Marketing team to produce event collateral, such as programs and signage, ensuring alignment with event branding and objectives. Manages all pre-event communications related to donors, volunteers, sponsors, and partners.

Event Administration and Evaluation



Ensures high-quality data management, updating the donor database and preparing reports. Manages sponsorship and vendor invoicing and payment tracking. Conducts post-event debriefs, gather feedback from stakeholders, and capture lessons learned to improve future events. Attends, volunteers, and actively participates in Foundation events as required. Other duties as required.

Qualifications & Experience



University degree or diploma in marketing or special events planning. 5-7 years' full-time experience in event planning and execution, ideally in a not-for-profit fundraising environment. Proven project management skills with a track record of successfully organizing, planning, negotiating, and executing events. Experienced team leader with the ability to coach and mentor staff effectively. Demonstrated ability to build strong relationships with donors, sponsors, and volunteers. Skilled in soliciting auction items and managing event registration. Proficient in writing a range of event-related materials, including briefs, invitations, and reports. Experienced in risk management, including securing permits and ensuring compliance with health and safety standards. Proven ability to exercise diplomacy, good judgment, and discretion in dealing with confidential & sensitive matters. Possesses the ability to remain focused under pressure, particularly when faced with multiple demands.

Skills & Abilities



Strong analytical and problem-solving skills with exceptional attention to detail. Excellent organizational and time management skills, with the ability to prioritize multiple demands under pressure. Exceptional interpersonal and communication skills, adaptable to diverse audiences and stakeholders. Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with digital/e-marketing tools (e.g., RE NXT, Constant Contact). Ability to analyze event metrics, including ROI and donor engagement by segments, to drive informed decision-making. Collaborative working style with a proven ability to inspire and coordinate volunteers and staff. Mandarin/Cantonese language is an asset. Flexibility to work evenings and weekends as required. Valid driver's license and daily access to a vehicle.
