Events Coordinator
to support a wide range of business and consumer engagement initiatives.
Working closely with the Marketing & Communications team, you will plan and execute events, develop content, support community outreach, and help shape BBB's presence across the region. You are organized, detail-oriented, and a strong representative of the BBB brand.
You will report to the Director, Marketing & Communications.
Key Responsibilities
Responsibilities & Expectations
1. Events Strategy & Execution
Develop, manage, and execute BBB's annual event strategy (webinars, in-person events, community engagements).
Oversee event logistics including promotion, registration, venue management, onsite coordination, and post-event reporting.
Manage bookings and promotions for BBB's office event space.
Organize BBB participation at third-party events.
Lead planning and execution of major signature events including the Torch Awards and Annual General Meeting.
Coordinate volunteers and ensure effective team support during events.
Create presentation decks and event materials.
Research new event opportunities
2. Event Communications & Content Development
Develop marketing and communication plans for events, programs, and campaigns.
Draft and review newsletters, blogs, web pages, and corporate communications.
Ensure all messaging is aligned with BBB brand guidelines and tailored to appropriate audiences.
Update website content related to programs, campaigns, and events.
Proofread and quality-check all outgoing communications.
3. Project & Campaign Management
Manage execution of marketing and communications initiatives across multiple platforms.
Maintain marketing calendars, timelines, dashboards, and budgets.
Coordinate deliverables across the MarComm team and project management tools (e.g., Monday.com).
Track progress, flag issues, and ensure alignment with organizational goals.
Provide general support to the Marketing Director as required.
4. Community Engagement & Outreach
Lead planning and delivery of community presentations, partner activations, and outreach events.
Evaluate external opportunities for relevance, impact, and ROI.
Create and deliver presentations to diverse public audiences (businesses, consumers, seniors, students, vulnerable groups).
Support community programming and promotional efforts for the Torch Awards.
5. Partnerships, Sponsorships & Vendor Relations
Manage sponsor, partner, and vendor relationships for campaigns and events.
Coordinate branding alignment and co-marketing with partners.
Support negotiation and fulfillment of sponsorship agreements.
Serve as the primary liaison for production, creative, and communications vendors.
Work cross-functionally with Accredited Services, Public Services, Sales, and other internal teams.
Represent the communications team in internal meetings and ensure alignment of messaging and priorities.
Keep staff informed of ongoing external outreach and engagement activities.
Support delegation and coordination related to major campaigns, programs, and events.
7. Team Support, Administration & Reporting
Provide reporting and updates to the Director of Marketing & Communications.
Support junior team members by assigning tasks, tracking deliverables, and ensuring accountability.
Assist with internal planning sessions, team check-ins, and strategic reviews.
Prepare reports on campaign performance, analytics, media engagement, and events.
Manage meeting logistics, maintain digital files, and support administrative needs.
Perform other related duties as required.
Experience and Abilities:
2 + years in small event management
Some travel will be required (reliable transportation to and from events)
Occasional evenings and weekends will be required
Excellent knowledge of MS Office, Google Docs, Canva, Eventbrite, Zoom, online applications, social media tools, and design abilities
Ability to develop digital assets (event posters, social media posts, marketing materials, videos)
Use of Canva and other online programs to facilitate such asset development
Well-organized with a customer-first engagement approach and a can-do attitude
Demonstrable ability to multi-task and adhere to deadlines
Strong written and verbal communications skills (including an attention to detail, grammar, and spelling)
Good understanding of office management and marketing principles
