The Events Coordinator will oversee the planning, organization, and execution of in-house and external events hosted or sponsored by Forget Me Not Coffee, they will also be responsible for partnership outreach and relationship building. This role requires a balance of creativity, operational excellence, and hospitality. The Events Coordinator ensures every event reflects our brand values, enhances guest experience, and builds strong community connections.
Key Responsibilities
Event Planning & Execution
Plan, coordinate, and execute coffee shop events (pop-ups, vendor markets, workshops, seasonal activations, collaborations).
Liaise with vendors, partners, and internal and external teams to align event goals and logistics.
Develop event timelines, task lists, and run-of-show documents to ensure smooth execution.
Vendor & Partner Relations
Source, secure, and manage relationships with event partners, vendors, and sponsors.
Handle contracts, communication, and ensure all third-party participants meet Forget Me Not Coffee's standards.
Operations & Logistics
Coordinate set-up, breakdown, staffing schedules, and supply needs.
Ensure events comply with health, safety, and municipal regulations.
Manage event budgets, track expenses, and report outcomes.
Marketing & Promotion Support
Work with the social media/marketing team to promote events across platforms.
Provide content needs (photos, copy, key highlights) pre- and post-event.
Contribute creative ideas for driving foot traffic and guest engagement.
Guest Experience
Uphold Forget Me Not Coffee's hospitality ethos during all events.
Gather guest feedback to improve future event programming.
Ensure the event environment is welcoming, inclusive, and memorable.
Skills & Qualifications
Strong organizational and project management skills; ability to multitask and meet deadlines.
Excellent interpersonal and communication skills; confident in building relationships with vendors, partners, and guests.
Creative thinker with a strong eye for detail and design.
Comfort in fast-paced environments; resourceful problem-solver.
Budget management and negotiation skills.
Familiarity with event marketing, promotions, and social media collaboration.
Hospitality or food & beverage industry experience is a plus.
Flexible schedule - evenings, weekends, and holidays may be required.

Pay: $35,000.42-$40,000.00 per year
