Qualifications
Education:

  • University degree or college diploma required. Ideally in event planning, event management or related.
  • Library and Information Technician diploma is an asset.
Experience:
  • Previous experience in event planning or programs an asset.
Overall Purpose: As a member of the MARCOM team, the Events Coordinator supports the library\xe2\x80\x99s mission, vision, and values by delivering a customer-first library experience in person, over the phone, and in online interactions. The Events Coordinator anticipates customer needs and finds solutions, so the customer feels welcomed, informed, and supported. The Events Coordinator focuses on creating, planning and implementation of events and programs, along with developing key partnerships to support BPL services and key events.

Key Accountabilities
  • Develop event plans and promotion in collaboration with Marketing & Communications colleagues to appeal to BPL audiences.
  • Initiate, plan and execute key BPL programs in collaboration with Programming team and Manager, Programming and Partnerships.
  • Model BPL\xe2\x80\x99s values in every customer service interaction.
  • Provide remarkable customer service to internal and external customers in person, by phone, and online in an efficient and effective manner.
  • Anticipate customer needs and look for opportunities to go the extra mile to create optimal customer experiences.
  • Provide support for customers and organizations booking BPL rooms and coordinate with colleagues to ensure bookings run smoothly and align with BPL\'s policies.
  • Support the learning and entertainment needs and interests of our community.
  • Stay current with technology, changes, and updates.
  • Uses and promotes technology as a routine part of work, including optimizing and trouble-shooting library technology and online collections.
  • Promote new and popular items from BPL\xe2\x80\x99s collections, both online and physical
  • Provide support to key events planned by all Programming Portfolios, where applicable.
  • Develop key partnerships to support BPL services and key events.
  • Provide content for BPL website and social media, including but not limited to: resource lists, trends and events, cross promotional opportunities.
  • Meet targets for key performance indicators as set by Management and keep accurate statistics on customer interactions and events.
  • Actively engages with training and team meetings
  • Awareness of WHMIS and appropriate health and safety practices for the workplace.
  • Perform additional position-related accountabilities assigned by management.

Technical:
  • Knowledge of BPL organization (vision, mission, values, strategic plan, stakeholders, partners, etc.)
  • Knowledge of policies, processes, procedures, and systems within BPL
  • Knowledge of library Customer Experience Philosophy and Customer Experience Standards
  • Ability to technical equipment including but not limited to:
  • Demonstrated proficiency in Microsoft Office 365, Windows, iOS and Youtube
  • Knowledge of Polaris ILS
  • Demonstrated knowledge of online booking and events software- Communico or comparable technology
  • Demonstrated knowledge of library tools, resources and technology
  • Ability to use programming technology including but not limited to:
  • Communico
  • BPL Events Calendar
  • Zoom and other virtual program platforms used by partners
  • AV and basic IT knowledge for onsite film events.
Work Environment
  • Most work is completed in public spaces of library while customers are present, with little exposure to noise, dirt, or external elements.
  • Some work is completed in office space, high level of computer and phone use.
  • Physical work such as moving, changing, and setting up for programs or community spaces; shifting materials, setting up program spaces, packing and unpacking boxes
  • Some events are held offsite.
  • Ability to travel between Library branches and event venues required.
  • Some work may be able to be completed from home.
Working Hours
  • BPL is a 7 days per week service and schedules include regular evenings and weekends
  • Able to work full time hours
  • Able to work evenings and weekends, year-round
Physical and Mental Effort
  • Regular periods during which continuous physical exertion is required, e.g. walking, standing, moving equipment for events, lifting supplies, some of which may be heavy or awkward (up to 50lbs.)
  • High visual concentration while performing routine tasks requiring accuracy and attention to detail on a computer
  • Moderate visual concentration while preparing for in person events
  • Ability to push a library book truck (approximately 200 lbs)
  • Ability to stand for extended periods of time
