We are now seeking an Event Co-Ordinator / Customer Service Representative for a full time position.
The Event Co-Ordinator / Customer Service Representative is responsible for the effective execution of trade show and clerical duties as per clients requirements. This includes responsibility for providing assistance and support to customers, on-site and office staff.
Responsibilities
The Event Co-Ordinator / Customer Service Representative is responsible for duties including but not limited to:
Collect detailed information from client on what their needs and requirements are & co-ordinate all elements for event space
Calculate cost & measurements of client requirements
Address all client inquiries, questions & changes
Provide suggestions and information on the services and rentals we can provide
Offer suggestions and layout information to give their event good flow while maintaining fire & safety codes
Create and update production order as requirements from client and venue
Be the gatekeeper of all information including set-up and teardown times, floorplans, exhibitor packages and special requirements from customer
Includes updating the venue with floorplans and time changes for set-up and teardown
Request, track, proof and send quotes from management and floorplans from our designer to ensure they meet customers' needs
Update event calendar with new event and changes to existing events as they arise
Ensure invoices are sent according to payment terms once proofed by you for accuracy
Source special requirements (such as furniture) and services that we do not offer in-house
Order and proof graphic requirements
Review exhibitor packages before they are sent to client
Update the venue with floorplans and time changes for set-up and teardown.
Preferred Requirements:
Experience in event coordination & customer service an asset. This position requires a strong work ethic, excellent organizational skills and interpersonal skills, excellent attention to detail and the ability to efficiently prioritize completing tasks. Applicant must be knowledgeable and competent in utilizing Microsoft computer programs and have strong mathematical skills;
Manage, coordinate, plan and support daily operations and admin functions with integrity and commitment.
Excellent communication and interpersonal skills with focus on strong customer service and phone & email etiquette to handle questions, concerns and de-escalate difficult situations.
Effectively coordinate special functions/events requiring superior planning, organization, problem-solving, and multi-tasking skills to manage all logistics.
Excellent organization, planning, implementation and problem solving skills with strong attention to detail.
Confident decision making/ judgment for project guidelines, prioritizing tasks and ability to multi-task.
Strong mathematical and accounting competency to balance spreadsheets, calculate taxes, calculate square footage.
Confident working independently and as a team.
Job Type: Full-time
Pay: $20.00-$23.00 per hour
Expected hours: 30 - 40 per week
