Reporting to the Director of Events of The Design Exchange, the Event & Catering Sales Coordinator is responsible for the sales, coordination, and effective planning for the successful execution of Corporate and Wedding/Social events at the Design Exchange. This role works collaboratively with the Venue Operations team, Venue Supervisors, and Kitchen team to capture and execute a personal portfolio of 40-60 events annually ranging from 50-1,000 guests.
Selling up to 5 unique venue spaces in Toronto's historic Design Exchange, you will have the opportunity to execute a wide range of private events from Conferences, Corporate Receptions, Galas, Trade Shows, Film, Product Launches, and some Social and Wedding receptions. Working with some of Toronto's most prestigious event planners and corporations, the incumbent will produce outstanding event guest and client experiences with a focus on excellence, excitement, and functionality.
Duties & Responsibilities
Engage in professional sales calls, meetings, and client site visits for Corporate and Social events.
Create custom event proposals including, but not limited to, Venue Space, Catering, Beverage Service, Staffing, Event Rentals (catering and furniture), decor, florals, and additional services.
Build and negotiate client contracts including deposit schedules and processing payments.
Create custom Floorplans for all events including Corporate Conference, Receptions, Food stations, and Wedding & Social events.
Create and manage venue supervisor packages and ROS and ensure a seamless handover for day-of execution.
Liaise with the operations team to coordinate services and anticipate the needs of Operations and Kitchen to ensure a successful event.
Reconcile client invoices post-event including P&L's.
Manage 40-60 events annually for initial inquiry to post-event reconciliation.
Meet weekly deadlines for event packages, vendor orders, sales, and operations meetings.
Book and coordinate event services including staffing and event services vendors.
Contribute to the overall venue sales and operational goals in collaboration with the full Venue team.
Skills & Specifications
Experience with and love for food, beverage, and current trends
Excellent professional communication skills including writing, proofreading, and speaking
Strong sales acumen, goal oriented and target driven

Customer service and guest experience oriented
High attention to detail
Excellent knowledge of food and beverage
Knowledge of staffing ratios, event catering rentals, floorplan creation
Ability to multi-task and meet deadlines

Past CRM experiences an asset
Experience with Floorplan software an asset
Requirements
Post-secondary education in hospitality, food & beverage, hotel management, communications, or marketing preferred or equivalent experience
Minimum 2 years experience working in the catering events industry in a sales role - preference for those working in a venue environment
Proven ability to work in a team environment with both collaborative and independent work ethic.
Ability to work some evenings, mornings, and weekends as required
Compensation
$50-$60K based on experience
$15K - $22K in team-based sales commissions and target bonuses available, sales commissions are not capped
