Job Overview
We are seeking a highly organized and proactive Estimating Coordinator to join our dynamic team and provide essential support throughout the tendering process. The Estimating Coordinator will play a key role in supporting the preparation and submission of project proposals. This position requires excellent organizational skills, attention to detail, and the ability to work collaboratively with cross-functional teams. You will be responsible for gathering and organizing project-related information, ensuring timely submissions, and maintaining up-to-date records throughout the tendering lifecycle.

Responsibilities
  • Assist with prequalification submissions and initial requests for information (RFIs).
  • Support proposal preparation across all divisions of the company, ensuring each proposal aligns with client expectations.
  • Manage vendor registration and supplier setup within client systems.
  • Receive tender packages and create a structured, digital file system for project documents.
  • Ensure timely completion of tender decision records, bid acknowledgement forms, and other necessary documentation.
  • Distribute tender documents to the estimating team and arrange kick-off and progress meetings.
  • Review and analyze client documents, organizing deliverables in SmartSheets for project coordination.
  • Track and update bid status in SmartSheets to monitor progress and ensure deadlines are met.
  • Attend tender review meetings to report on progress and receive updates on proposal components.
  • Prepare standard company information and relevant sections of proposals.
  • Manage bid bond and insurance requirements, ensuring compliance with company guidelines.
  • Assist with proposal content creation, including formatting, writing, and editing supporting documents.
  • Collaborate with internal teams and clients for clarifications, submittals, and post-tender follow-ups.
  • Track and distribute tender addendums, ensuring client acknowledgements are returned on time.
  • Review proposal components for consistency, completeness, and accuracy before final submission.
  • Oversee the final proposal preparation, ensuring all necessary documentation is ready and correctly packaged.
Requirements
  • 2-5 years related work experience or combination of relevant education and experience
  • Degree/Diploma in Business Administration or related field is an asset
  • Advanced proficiency in Microsoft Office Suite, particularly Word and Excel.
  • Strong written communication skills with the ability to create clear, professional documents.
  • Strong understanding of legally binding contract documents and ability to draft formal documents with minimal direction.
  • Exceptional organizational skills with the ability to manage multiple deadlines and priorities.
  • A collaborative team player with the ability to work effectively in a fast-paced environment.
  • Flexibility to work extended hours or weekends as needed to meet project deadlines.
  • Must pass pre-employment alcohol and drug test including cannabis
