The Enrolment Assistant reports to the Recruitment & Enrolment Manager and plays a key support role in Okanagan College's student recruitment and advising efforts by assisting Future Student Advisors (FSAs) and Education Planning Advisors (EPAs) in community-focused outreach and student engagement. Based at the identified campus, this position enhances OC's enrolment pipeline through high school visit coordination, event support, lead generation, and on-campus services such as campus tours and material distribution. The Enrolment Assistant contributes to a welcoming, informative, and student-centered environment that supports OC's enrolment goals and community partnerships.
Functions and Duties
1. Recruitment & Outreach Support
Assist with set-up and support for high school visits, community outreach activities, and recruitment fairs.
Provide logistical and administrative support for events such as Experience OC, Parent Nights, Open Houses, and campus-based outreach.
Support Student Recruitment Officers with lead collection, data entry and basic student inquiries during school visits and public events.
2. Campus & Community Engagement
Conduct campus tours for prospective students and their families, offering program information and OC highlights.
Assist in poster distribution and the delivery of marketing materials to high schools, libraries, and community partners in the region.
Represent Okanagan College at local events and information booths as needed.
3. Administrative & Operational Support
Track prospective student engagement using Customer Relationship Management (CRM) and event tools under the direction of recruitment and advising staff. (Data Entry)
Assist in follow-up communication with student leads and event attendees, including digital and in-person outreach.
Maintain inventory of recruitment materials and assist with packing/unpacking for offsite travel.
4. Collaboration & Team Support
Collaborate with FSAs and EPAs to ensure seamless communication and coordination of outreach efforts.
Participate in regional team meetings and training opportunities to enhance knowledge of OC programs, services, and enrolment processes.
Provide general support to the regional Student Services and Recruitment & Enrolment teams as directed.
Education and Experience
Education:
Minimum of 1 year of relevant post-secondary education or current enrolment in a post-secondary program is an asset.
Experience:
Minimum 2 years' experience in customer service, CRM sales, community outreach, or event support preferred.
Familiarity with post-secondary environments and working with youth or prospective students is an asset.
A combination of education and experience may be taken into consideration.
Skills and Abilities
Strong interpersonal and communication skills, with the ability to engage diverse audiences.
Driven to support a customer service approach
Highly organized and reliable, with attention to detail in logistics and follow-up.
Comfort with public speaking, group presentations, or guiding small tours.
Experience in supporting event set-ups and roll-outs.
Proficiency with Microsoft Office and a willingness to learn CRM or enrolment tracking tools.
Ability to work independently and as part of a team in a fast-paced environment.
