Our Nanaimo, BC location seeks a proactive and solution-driven Engineering Project Administrator to support and coordinate administrative project engineering activities; in particular for our larger, complex projects. As an integral member of the project team, you will work closely with project managers, design leads, and the rest of the project team, to ensure projects are completed on time and budget, while maintaining a high level of quality. This is an excellent opportunity for someone with solid administration experience that wants to take their career to the next level, or for a graduate of an engineering technology program with some project management or administration experience.
Responsibilities include, but are not limited to the following:

  • Perform a variety of project administration tasks, including project scheduling, resource loading, cost tracking, and project reporting.
  • Work collaboratively across the project team to ensure visibility and clarity on project deliverables.
  • Continuously seek opportunities to streamline and standardize project delivery.
  • Assist with the preparation of project documentation and deliverables and proofread before finalization and/or issuing.
  • Organize and attend project meetings. Take notes at meetings and prepare and distribute minutes.
  • Follow up on important actions and decisions from meetings.
  • File and document control of engineering documents. This includes tracking incoming and outgoing information.
  • Maintain accurate and current project logs and lists, including deliverable lists, issue and action logs, change orders, etc.
  • Assist the procurement team with coordinating procurement of equipment as required.
  • Assist with quality management system and project control processes.
  • Assist with project closeout and archiving.
  • Participate in post project reviews to ensure continuous improvement.
  • Working collaboratively across the project team to ensure visibility and clarity on project deliverables.
When selecting candidates, we will be looking for the following:
  • Minimum of 8 years\xe2\x80\x99 administration experience.
  • Excellent verbal and written communications with the ability to influence others.
  • Well organized with a high attention to detail. Must be able to work across multiple projects concurrently.
  • Ability to work independently with minimal supervision as well as part of a team.
  • Customer-focused with strong interpersonal skills and ability to build rapport with others.
  • Proficient with Microsoft software, including Project, Word, Excel, Outlook and Teams.
  • Authorized to work in Canada.
Other valuable, but non-essential skills, abilities, and experience include:
  • Diploma in engineering technology or business administration
  • Project controlling
  • End-to-end project administration, from conception to delivery
  • Solid understanding of project management methodologies
  • Experience with AutoCAD and Bluebeam and asset
