We are seeking Senior Project Administrator to join our team in the Toronto office. In this role you will be responsible for supporting a team of Project Managers in planning and managing small to large sized projects. You will help service our clients for the entire life cycle of the project from project initiation to complete project closure. To succeed at this, you\xe2\x80\x99ll need to be detail oriented, a strong collaborator, and able to handle a fast-paced work environment. You will also contribute to the establishment and refinement of work quality, cultural initiatives, and best practices to drive results as a team.

  • leading a team of project administrators to manage various projects throughout all levels of design and construction;
  • assisting project managers in all management activities including financial, planning and contracting aspects;
  • being responsible for managing and ensuring quality and consistency of administrative processes and procedures;
  • monitoring all moving parts projects, keeping them synchronized and moving forward;
  • managing document control in compliance with our defined systems and procedures;
  • preparing, editing, and submitting reports, specifications, correspondence, spreadsheets, and presentations to ensure that the highest quality editing and formatting are presented following branding guidelines;
  • attending project meetings and providing follow-up support, including preparing meeting notes, agendas, action lists, reminders, and actions items;
  • facilitating the development of project plans and managing them from inception to completion;
  • meeting regularly with appropriate project personnel to discuss support needs;
  • providing training to project team members on all processes and procedures;
  • on-boarding and off-boarding project team members; and;
  • performs other duties as required.
Qualifications
  • Degree or diploma in a relevant field, or equivalent combination of education and experience;
  • (8+) years of relevant experience working in an engineering/architecture and construction environment is required;
  • (3+) years+ managing/supervising a project administrative team;
  • expert knowledge of MS Office Suite and other standard applications/software programs and databases;
  • able to demonstrate that you\xe2\x80\x99ve successfully managed small to major projects from inception to completion of construction;
  • PMP and construction administration certification a plus;
  • excellent verbal and written communications skills;
  • self-starter with the ability to coordinate changing priorities;
  • ability to anticipate management/client needs and address them proactively;
  • excellent interpersonal skills and the ability to build and maintain relationships;
  • pays attention to detail and is a champion for accuracy and quality; and
  • ability to handle confidential assignments with tact and diplomacy.
