Community Engagement Specialist & Executive Assistant

Position Summary
The Community Engagement Specialist & Executive Assistant will play a pivotal role in fostering strong relationships between the Ontario Health Team and the community it serves, while also providing high-level administrative support to the OHT executive and backbone team.
This role involves working directly with the Patient Family Advisory Council to develop and implement strategies to engage community members, stakeholders, and partners in meaningful ways to enhance health services and outcomes. The position also includes managing the administrative tasks of the OHT including managing executive schedules, meeting packages, communications and records management. This role reports to the Director.
Duties and Responsibilities
Assists the Director daily as required.
Provides administrative support for the day-to-day operations of the NSOHT.
Develops and executes outreach programs to engage community members, including organizing events, workshops, and forums.
Build and maintain relationships with key stakeholders, including patients, healthcare providers, community organizations, and local government.
Create and disseminate communication materials to inform and engage the community about OHT initiatives and services.
Implement mechanisms to gather community feedback and ensure it is integrated into planning and decision-making processes.
Identify and cultivate partnerships with local organizations to support community health initiatives.
Prepare regular reports on community engagement activities and outcomes for internal and external stakeholders.
Organize meetings, including booking of rooms, catering, compiling, and processing of minutes, distribution of meeting agendas and materials.
Provide administrative support for working groups.
Assists in the development and production of website and social media communications.
Adheres to all policies and procedures and maintains current knowledge of policy manuals.
Works in compliance with Health & Safety laws adhering to safe work practices and procedures established by NSOHT.
Exercise reasonable care and caution in protecting confidential and sensitive information of patients, their families, employees, and the NSOHT organization.
Other duties as requested/required.
Education and Experience
Bachelor's degree in public health, clinical discipline, social work, communications, business administration, or a related field.
Minimum of 3-5 years of experience in community engagement, public relations, executive assistance, or a related field. Experience in healthcare settings is an asset.
Excellent interpersonal, oral and written communication skills.
Strong organizational and project management abilities.
Ability to work collaboratively with diverse groups.
Proficiency in using social media and other digital tools for community engagement.
High level of proficiency in office software (e.g., Microsoft Office Suite).
Strong problem-solving skills.
Must be able to multi-task and prioritize while working within a busy environment.
Exceptional customer service skills with the ability to work both independently and as a team member.
Job Types: Full-time, Fixed term contract
Contract length: 18 months
Pay: $71,000.00-$75,000.00 per year
