Responsible for the delivery and continuous improvement of the Ecosystem experience as defined by the Activity Based Workplace Transformation (ABWT) program vision. An Ecosystem is defined as a physical space, typically 2-3 floors, housing an interconnected population of approx. 800+ employees who share a common purpose. The job requires skills in service delivery, continuous improvement, community management, communication and relationship building to ensure employees, partners and visitors within the Ecosystem are engaged and productive. The Community Lead ensures all activities conducted are compliant with all governing regulations, internal policies, and procedures and that all learnings are cycled back for future implementations.Is this role right for you? In this role, you will:1. Day to Day Support (onsite)
a) As first point of contact, always ensuring a positive, exceptional experience for all.
b) Managing communications through the mastery of multiple platforms: MS Teams, Viva Engage, Outlook
c) Managing the space and amenities through regular space and behavioral sweeps, re-stocking as well as logging and tracking of issues through to resolution within mandated SLA
d) Aligning with Team Norms for coverage and all job accountabilities
e) Act as back-up in other Ecosystems as required.2. Employee & Visitor Experience: Act as a central point of contact for employees, partners, and guests in the Ecosystem by providing operational support:
a) Represent and advocate on behalf of the Ecosystem population to the program team, line management and Ecosystem Governance Council
b) Champions a high-performance environment and motivates their peers and Ecosystem by fostering diversity, equity and inclusion through an inclusive work environment.
c) Manage all communications to and from the Ecosystem population via the central designated channels.
d) Monitor and track the Ecosystem population list to the finance work stream for accurate reporting to the program. Identify any concerns to management.
e) Deliver Ecosystem orientation for new employees, to ensure they work productively in the activity based working model including how to use meeting room technology and various spaces within.
f) Ensure meeting rooms are maintained according to Ecosystem standards including being first point of troubleshooting technology in the rooms.
g) Support and attend monthly Workplace Working Group feedback sessions representing Operations along with representation from the Ecosystem and ABWT Program
h) Organize and provide tours of Ecosystem to other Scotiabank employees and external visitors.3. Administration & Facility Management
a) Security: Maintaining records of keys, access badges relating to premises and site access control.
b) Maintenance: Proactively coordinate with Building Services, Real Estate, or other partners on issues with cleaning, HVAC, lighting etc. to ensure any operational, janitorial issues are resolved quickly and within SLA
c) Amenities: Ensuring stationery, drink stations and all amenities are stocked and operational
d) Financial Responsibilities: Responsible for submitting and tracking invoices and escalate processing of as necessary within SLA; Managing of engagement budget & stationary/amenities spending.
e) OHS/Fire Warden/First Aid: Participate in the OHS committee as a member representing their Ecosystem, attend monthly meetings, track reporting, maintain updated OHS board, act as Fire Warden and First Aid Attendant (certified training provided).4. Community Engagement:
a) Identify and support opportunities to bring the Ecosystem population together as a catalyst for the culture of the Ecosystem.
b) Plan and Implement events to engage the Ecosystem Population through themed days, games, music and food both virtually and on-site.
c) Provide support for Business line we care events, (e.g., Town Halls, AMA's, Lunch in Learns), to ensure citizen's objectives are met for each event
d) Amplify communications for events to the Ecosystem Population via the Teams channel and Viva Engage; as well as maintain an Ecosystem Calendar highlighting upcoming events in the space.
e) Reviewing meeting room, food and beverage & audio-visual set up in advance of client arrival and liaising with operations teams to remedy deficiencies.
f) Oversees and supports execution of set up, access for guests.5. Continuous Improvement:
a) Develop and maintain processes and procedures for the Ecosystem on behalf of the Operations Team.
b) Support the ABWT program and provide input to leadership and the program team regarding opportunities for reinforcing change.
c) Embed Continuous Improvement approach while executing all accountabilities.
