The Document Management Clerk is responsible to process data from incoming documents to the claim and employer account records on the electronic file.
Job Duties:
Opens, sorts and directs mail and faxes including calling external stakeholders (claimants, employers, medical professionals, etc.) if information is unreadable or incomplete.
Scans and indexes documents with claim numbers into Emerge. This includes verifying correct claim number, date of accident and injury. The documents are then directed to the appropriate department or individual for review and processing.
Picks up and delivers physical claim and employer files on scheduled daily basis.
Utilizes the Optimal system to ensure that mail and faxes for the employers are placed on the firm files and directed to the appropriate department for processing.
Performs physical maintenance of claim and employer account files including organizing and purging information using established retention guidelines.
Liaises with off-site facility for storage and retrieval of claim and employer files and/or scanned claim documentation.
Reviewing & reconstituting of Claim File, Employer File and financial information that are stored on microfilm. Performing check backs to locate claim, employer and financial information on microfiche
Prepares and stores miscellaneous claim media in Corporate Records. This documentation includes DVD's and CD's of MRI, CT Scans, X-rays, and photos of bodily injury sites.
Performs other related duties as assigned.
Qualifications:
Completion of Grade 12
Minimum 4 months of related work experience in a customer service environment
7,000 numeric keystrokes per hour (less than 5% error rate)
Ability to use a personal computer and software (Word and Excel) in a Windows environment
Keyboarding proficiency required to accurately enter and query data
Ability to communicate effectively
Ability to organize workload to meet deadlines
Ability to lift/carry heavy objects weighing up to 50 lbs
Ability to work independently and in a team environment
General knowledge of scanning and indexing technology, would be an asset
Ability to communicate proficiently in both official languages (English & French) is an asset, but is not required

Salary Range: $43,483 to $55,985
