We are seeking a detail-oriented and organized Document Control Clerk to join our team. The ideal candidate will be responsible for managing and maintaining documents and records, ensuring that all documentation is accurate, up-to-date, and easily accessible. This role will be responsible for the document lifecycle for the projects and the engineering department - versioning, storage, access, archival - within SharePoint and internal systems, ensuring compliance and traceability. This role requires strong communication skills, proficiency in various software applications and the ability to work collaboratively within a team environment.

Responsibilities:



Oversee all controlled documents - drawing, specifications, change notices, and interface documents. Implement and maintain and up-to-date document control system and practices to facilitate easy retrieval and reference - manage workflows and permissions. Ensure version control, approval workflows, metadata standards, and audit readiness Coordinate engineering change control - track and distribute engineering change requests - ECRs, ECOs and ECNs Support retrieval for audits, ISO assessments and internal consistency. Revise the transmittal process for detailed naming conventions Collaborate with all departments to establish and maintain document control standards Ensure compliance with industry standards and comply with policies regarding document management Manage and release revisions of operating procedures and forms from internal process owners. Ensure all controlled documents are current and accessible Act as the point of contact for document-related inquiries from staff and project teams Review progress of Document Control Orders (DCO). Generate reports on document control activities and compliance as requested. Other duties as assigned

Qualifications:



Post secondary diploma and/or degree in Business Administration or related field. Minimum of 3 years related work experience in Document control, admin and EDMS platforms Strong writing skills for preparing clear and concise documentation. Experience in customer service roles is beneficial for maintaining positive internal relationships. Engineering or construction experience considered an asset Proficient in MS Office, SharePoint and local servers
