We're looking for a detail-driven Document Clerk to keep our paper and digital records accurate, searchable, and compliant. You'll prepare and scan files, index and label records, maintain organized filing systems, and respond to retrieval requests across teams. What you'll do
Prepare, scan, and convert documents to digital formats; perform basic image/quality checks and ensure files are properly saved and routed.
Label, file, and retrieve documents; photocopy and collate packages for distribution and mailing.
Organize documents within physical and electronic folders; create file labels and keep naming conventions consistent.
Index and update records metadata so information is easy to find.
Handle confidential information with discretion and follow records/privacy practices.
Support general office tasks as needed (e.g., scanning queues, print requests, basic admin support).
What you bring
1+ year in a records, filing, mailroom, or administrative role (or equivalent co-op/internship).
Strong attention to detail, time management, and ability to meet daily throughput targets.
Comfortable with Microsoft Office and file management in Windows.
Clear communication and service mindset when handling requests.
Asset: experience with document control or DMS tools (e.g., iManage/SharePoint) and knowledge of revision control.
Nice to have
Experience in a municipal, legal, healthcare, construction, or professional-services environment (records-heavy settings).
