We are looking for an enthusiastic individual to join the team in
Sexsmith as a Dispatch and ticketing administrator
with a focus on reviewing field tickets, admin work, creating PO's and assisting the dispatching team.
Please note: this role is in-person only, and remote applicants will not be considered.
Reporting to the Contract and Project Costing Manager, the Dispatch and Ticketing Admin will ensure all administrative duties are completed in a precise and timely fashion while working in conjunction with dispatching and management team.
RESPONSIBILITIES:
Assisting with job creations in Aimsio and Basecamp.
Review approved contracts/ service order with daily field tickets ensuring accuracy; review of payroll of employees and contractors are correct, ensure all revenue and costing is accounted for.
Assisting with billing for monthly rentals.
Issuing and updating purchase orders, ensuring proper delegation of authority and approvals are obtained.
Booking hotels and coordination with field staff on lodging.
Hiring & Onboarding - support the coordinators as needed and working with HR to ensure employee records are complete and accurate. Ensuring employees are compliant in work hub.
Material counting, Ordering and reconciliation - creating PO's and contacting vendors for ordering. Preparing month end inventory reconciliation.
Preparing monthly utilization trackers and reconciliation.
Assisting dispatch and management with various tasks
The ideal candidate will be eager to learn the operational aspects of the business and demonstrate the potential to grow and take on increasing operational responsibilities over time.
EXPERIENCE and SKILLS:
Minimum of 3 years' of office administration experience is required.
Certificate or diploma in Office Administration.
Excellent customer service skills.
Excellent verbal and written communication skills.
Ability to prioritize multiple activities with tight deadlines and adapt to changing work conditions.
Perform work accurately and thoroughly with a high attention to detail
Familiarity with programs such as Work Hub, Site Docs, Aimsio and Ceridian would be an asset.
