Job Summary:



The Dispatch Administrator is responsible for coordinating the scheduling and dispatching of personnel, vehicles, and/or equipment to appropriate locations based on customer requests, operational needs, or service requirements. This role ensures timely, accurate, and efficient dispatch operations, supports the Dispatch and Admin Team tasks, and maintains essential documentation and communication across departments.

Key Responsibilities



Schedule and dispatch drivers, technicians, or field personnel according to work orders, customer needs, and company policies. Monitor and track the status of dispatched jobs to ensure on-time performance and service delivery. Maintain communication with field staff via phone, radio, or dispatch software to provide updates and instructions. Update and maintain accurate records in dispatch and scheduling systems. Prepare daily, weekly, and monthly reports related to dispatch activities, service times, and productivity. Address and resolve dispatch-related issues, delays, or conflicts in a timely and professional manner. Collaborate with other departments (e.g., customer service, operations, warehouse) to ensure smooth workflow and customer satisfaction. Handle incoming calls, emails, and service requests with professionalism and urgency. Ensure compliance with company policies, safety standards, and regulatory requirements.

Administrative Duties



Contact Drivers for missing paperwork. Bill Loads in Truckmate under the Direction of the Operations Admin Supervisor. Scan bills with scanner Maintain accurate documentation and filing systems.

Skills and Qualifications



Experience: Minimum 2 years of administrative experience, preferably in a trucking or logistics environment. Technical Skills: Proficiency in Truckmate, Microsoft Office (Word, Excel, Outlook), and data entry. Organizational Skills: Strong attention to detail, ability to multitask, and meet deadlines. Communication Skills: Excellent verbal and written communication skills. Problem-Solving: Ability to work independently and resolve administrative issues efficiently.

Work Environment



Office-based environment with extended use of computers and phones. May require availability outside of standard business hours depending on business needs (e.g., on-call shifts or weekend coverage). Some roles may involve coordination with drivers or field teams in real-time, requiring fast decision-making.
