Position Summary

The Fleet Training & Dispatch Coordinator plays a dual role within the Transportation Department, supporting both daily dispatch operations and fleet training initiatives. This position ensures efficient driver communication, route execution, and compliance while contributing to company-wide driver onboarding, training, and safety programs.



The incumbent will assist with day-to-day dispatch duties--including driver dispatching, troubleshooting, and load monitoring--while also supporting driver orientation, evaluations, and training assignments as directed by the Transportation & Fleet Training Supervisor.



This is a dynamic position requiring strong organizational skills, a customer-focused mindset, and the ability to adapt to changing priorities in a fast-paced transportation environment.

Key Responsibilities

Dispatch & Daily Operations

Execute daily driver dispatch and ensure all routes are launched on time with accurate documentation. Act as a key point of contact for drivers during their shift, providing guidance and troubleshooting support for route changes, breakdowns, customer delays, or product issues. Monitor route progress through Shaw, Omnitracs, or equivalent fleet management tools and communicate proactively with stakeholders. Coordinate backhauls, special deliveries, and route changes to maintain efficiency and service levels. Support schedule adjustments and coverage planning, including after-hour or weekend coverage as required. Assist with driver and equipment assignments to ensure compliance with MTO Hours of Service and company policy. Maintain accurate electronic logs, trip sheets, and dispatch documentation for regulatory and audit compliance. Escalate service or safety issues promptly to the Transportation & Fleet Training Supervisor or Branch leadership.

Fleet Training & Safety

Support onboarding and orientation sessions for new drivers and driver helpers. Conduct ride-alongs, safety audits, and performance evaluations as assigned. Assist with refresher or corrective training for drivers based on performance feedback, accidents, or policy updates. Collaborate with Fleet Training Coordinators and Health & Safety on training records, compliance tracking, and Early & Safe Return to Work documentation. Reinforce company policies, food safety standards, and best practices during daily driver interactions. Maintain familiarity with onboard technology (dash cameras, telematics, and communication systems) and assist in training or troubleshooting as needed. Participate in accident investigations, root cause analysis, and corrective action planning.

Administrative & Communication Support

Update route data, driver performance records, and compliance logs in relevant systems. Support reporting of daily dispatch metrics and training activity updates to management. Contribute to continuous improvement projects in driver communication, training processes, and operational efficiency. Assist with recruiting, onboarding coordination, and retention initiatives within the transportation department.

Required Qualifications

Minimum 2-3 years of experience in transportation, dispatch, or fleet operations. Valid AZ license and clean driving record preferred. Strong knowledge of MTO, CVOR, and Hours of Service regulations. Proficiency with Microsoft Office (Excel, Word, PowerPoint) and dispatch/fleet systems (Shaw, Omnitracs, Roadnet, or equivalent). Effective communication and problem-solving skills with the ability to stay calm under pressure. Experience in driver training, coaching, or mentoring considered an asset. Customer-service mindset with attention to detail and follow-through.

Unique Requirements

Must be available to work flexible daytime hours, including early starts and occasional weekends or coverage during vacation periods. May be required to travel occasionally to other branches (Kitchener, Whitby, or Sudbury) to support training or dispatch coverage. Must adhere to all HACCP, Food Safety, and Health & Safety policies. Ability to thrive in a fast-paced, team-oriented environment with shifting priorities.
