Recruitment range: $111,916 - $139,896 maximum starting salary is determined through knowledge, experience and internal equity.

Performance range: starting salary to max of $160,880 is available through annual performance increases.

Job Summary

Mandate/Core purpose of role

Under the supervision of the Executive Director, Accelerating Community Energy Transformations (ACET), the Director of Operations (DO) position offers an exceptional opportunity to contribute to the operational excellence of this world-class, interdisciplinary initiative by managing the day-to-day operations and administration of ACET, and providing strategic advice. The DO will develop operations and organizational strategies to ensure that the ACET initiative is properly and successfully implemented in alignment with ACET objectives and funders\' policies. The DO maintains and directs the daily operations of ACET, including project management, accounting, reporting and coordinating human resources and equity, diversity and inclusion.

This position will work in partnership with researchers, managers and staff in departments throughout the University, including the Office of the Vice-President Research and Innovation (OVPRI), Research Accounting, Human Resources, and Equity and Human Rights. In addition, the position works with the five collaborating partner institutions, external research funding agencies and other partners contributing in-kind and cash to ACET.

The Director of Operations will have experience managing large-scale projects and associated business development including budgeting, writing and reporting for technical, funding agency and public-facing audiences; developing risk assessment and management strategies; tracking project and program metrics and key performance indicators; co-managing ACET\'s grants and project management team.

The candidate must have a track record of successful operational experience within a vibrant and adaptive organizational context that values diverse forms of knowledge spanning the natural and social sciences as well as Indigenous knowledge and other ways of knowing. The Director of Operations may periodically be required to work outside of regular office hours to support ACET events and to meet project reporting deadlines. This position may also be required to travel nationally and internationally to support ACET.

Objectives
  • Manage the logistics, day to-day coordination, and the tracking and reporting of ACET activities and funding disbursements across partner institutions and project stakeholders, and between UVic offices.
  • Develop and implement a comprehensive operations plan across the ACET program including appropriate IT infrastructure to support planning, tracking and communications.
  • Working with a range of partner stakeholders, ensure programmatic, financial and impactful performance commitments are tracked, met and analyzed for improvement.
  • Manage the operations and administration of the overall ACET program across five partner universities, with a core office of around 15 staff, an overall initial budget of $83M, and the oversight of tens of research projects within the program.
  • Develop program budget; develop cash flow projections and identifying and mitigating budget risks to UVic and to the projects.
  • Develop and implement an Equity, Diversity and Inclusion action plan across all aspects of ACET operations including down to the researcher and HQP level.
Job Requirements

Post-graduate degree from a recognized post-secondary institution, with relevant specialization in one or more of the following knowledge areas: business administration, project management, engineering, or related disciplines. Minimum of seven+ (7+) years of relevant experience in a leadership administration role with expertise in operations, financial administration and project management in large complex organizations delivering on performance indicators. An equivalent combination of education, training and experience may be considered.

Knowledge of issues concerning community energy systems transformations (remote and urban); appreciation for community-based and co-developed research; Indigenous and local knowledges; and how academic research and development mainstream into public policy would be an asset.
  • Expertise in the administration and leadership of a large-scale initiative or project. Specific skills in financial management, human resource management and administration are required.
  • Expertise in engagement processes, especially working with the academic community, which might include expert panel processes, scholarly workshops and knowledge mobilization efforts.
  • Proven ability to plan and manage operational processes.
  • Superior knowledge of multiple operational functions and principles, including finance, customer service, production, performance tracking and reporting and employee management.
  • Flexibility to pivot and take on new, unanticipated tasks.
  • Experience working at the interface between engineering, science, policy and business.
  • Demonstrated leadership and project management skills.
  • Demonstrated experience addressing and implementing equity, diversity and inclusion principles and best practices.
  • Ability to communicate complex issues to broad audiences both orally and in writing.
  • Strong writing, verbal presentation and analytic capabilities.
  • Ability to initiate and execute plans to ensure smooth financial operations of research activities within multi-partner projects.
  • Ability to travel (generally 1-3 days/trip) within BC, but also Canada and internationally, as needed.
Preference may be given to applicants holding experience gained in a post-secondary or similarly sized and complex organization. An interest in energy systems and/or climate change solutions to contribute to the overall mission of ACET and support ACET members.
