The Role
Reporting to the President, the Director of Administration will manage the administrative functions and departments for a growing professional services firm headquartered in downtown Toronto, providing accountability for flawless execution and superior internal client service.
The Director of Administration will have 3-4 direct reports to support administrative functions and help drive results.

Responsibilities
The Director of Administration will focus succinctly on four core administrative functions (Travel, Real Estate, Office Administration, Information Technology) and the processes within. Other duties and ad hoc projects are to be completed as assigned.

Travel

  • Responsible for the management and cost control of travel expenditures while working within an approximate $1.5M annual airfare budget.
  • Ensure governance/ policy is complied with and bookings for airfare, hotels, and rental cars occur proactively and responsibly.
Real Estate
  • Ensure office efficiency is maintained by managing the prompt execution and budgets of various projects, included but not limited to: repairs, renovations, cleaning, etc.
  • Responsible for supporting the maintenance of an immaculate head office and managing vendors related to office/ facilities management.
  • Liaise with tenants to ensure lease upkeep and relationship management.
Administrative Operations
  • Ensure the accuracy and timely administration of all documents and records.
  • Ensure the standardization and documentation of operating procedures with constant evaluation and process improvement.
  • Liaise with the President to prepare departmental budgets and take full accountability for adherence.
  • Support the broader administrative and Human Resources team with the planning and organization of company events, ensuring flawless execution and communication.
Information Technology
  • Responsible for managing the day-to-day relationship with Trindent\'s external IT support provider.
  • Manage all IT hardware, software, networks, and telecommunication within the office. Ensure all inventory and equipment (desk/mobile phones, laptops/ monitors, WAN, copier, telecommunications equipment, etc.) is in working condition and readily available.
  • Support the timely resolution of IT tickets and troubleshooting.
Education, Experience, and Skills Required
  • Bachelor\xe2\x80\x99s Degree or College Diploma in Administration, Human Resources, or related discipline.
  • 10+ years of experience, including 5+ years in a managerial capacity, in any or combination of office administration, human resources, finance, or executive support.
  • Experience in a consulting firm or professional services environment will be considered an asset.
  • Superior people-management ability with demonstrated experience managing a highly functioning team.
  • Exceptional written and verbal communication skills.
  • Proficient user of Microsoft Office Suite (Word, Excel, Power Point and Outlook).
  • Experience using SAP Concur or other Expense Management software is an asset.
  • Experience using InDesign or other Adobe applications is an asset.
  • Experienced and proficient in using a variety of telecommunication platforms (i.e., conference calls, video conferencing, web meetings, etc.).
  • Ambitious and proactive.

  • Highly sociable, courteous, and professional.
  • Detail-oriented and disciplined in self-review.
  • Ability to manage competing demands and priorities.
