DENTAL SECRETARY/PATIENT CO-ORDINATOR



General Purpose:



Reporting directly to Dr. Nilesh Amin and the Business & Operations Manager, Marcela Penaloza, the Dental Secretary/Patient Co-ordinator is responsible for maintaining appearance and order of the dental office, including maintenance of the patients' records, scheduling of patients, accounts receivables, insurance processing and recall/re-care system.

The Dental Secretary/Patient Co-ordinator is also expected to know, uphold and apply the clinic's mission statement and core values.

Main Job Tasks and Responsibilities:



Open and close dental office according to office protocol. Daily inspection of the office for a neat, professional appearance and make necessary adjustments. Check the daily schedule for accuracy Answer and respond to telephone calls with professionalism. Review supplies for reception and provide order requests to the Office Manager Maintain a professional & clean reception area. Greet and welcome patients and visitors to the practice in a warm and courteous manner. Check patients in according to office protocol, verifying and updating patient information Manage recall and inactive patient system. Confirm the next day's appointments according to protocol and patient preferences. Schedule patients for efficient use of doctor and staff time. Check patient quick-fill cancellation list to try to fill in cancellation and no-show appointments. Assist the Office Manager by performing various administrative and light bookkeeping related tasks. Collect payment from non-assignment patients at the time of treatment and prior to departure from the clinic. Process and balance day end. Make follow-up appointments as needed. Provide estimates to patients for planned treatments. Gather and accurately record insurance information from patients. Process private insurance submissions electronically and/or by way of paper submissions. Process and maintain RAMQ insurance records Accurately file patient information. Maintain accurate and updated insurance information for all patients at all times. Submit or mail treatment plans for predetermination of benefits. Mail or electronically submit claim forms from office. Assist patients with insurance reimbursement issues. Call patients who have booked appointments during a day/week when the original dentist seeing them is away and inform them and obtain consent that a different dentist will be seeing them.
