The Secretary will be instrumental in ensuring smooth office workflows, maintaining patient records, and delivering excellent customer service. Prior experience with dental or medical office procedures is preferred, along with proficiency in office software and multi-line phone systems. Experience in the dental field is a must
Duties
Greet patients and visitors warmly at the front desk, providing a welcoming environment
Manage multi-line phone systems to handle appointment scheduling, inquiries, and follow-ups
Schedule, confirm, and reschedule patient appointments efficiently
Maintain accurate electronic medical records using systems such as Epic and Dentrix
Verify patient insurance information and process billing as needed
Assist with administrative tasks including filing, data entry, and correspondence
Prepare and organize paperwork for patient visits and procedures
Coordinate with clinical staff to ensure timely patient flow and appointment adherence
Handle incoming mail, emails, and faxes related to patient care and office operations
Ensure the reception area remains tidy and professional at all times
Skills
Proven experience as a dental receptionist or in a medical office setting
Familiarity with electronic health records systems such as Epic and Dentrix
Strong knowledge of medical terminology relevant to dental or healthcare environments
Excellent organizational skills with attention to detail
Proficiency in office software including MS Office Suite (Word, Excel)
Ability to manage multi-line phone systems efficiently
Exceptional communication skills--both verbal and written
Ability to handle sensitive patient information with confidentiality and professionalism
Prior experience working with medical or dental office equipment is a plus
