About the Role:





The Fund Development Database Administrator & Prospect Researcher is responsible for managing the YMCA's donor database, gift processing and supporting prospect research activities to enhance fundraising campaigns and donor engagement. This role ensures accurate donor records, gift processing, and reporting, while also identifying and analyzing prospective donors across individuals, corporations, and foundations.



The incumbent will provide actionable insights that strengthen fundraising strategy, stewardship, and pipeline development, while ensuring data integrity and compliance with all CRA regulations and YMCA policies. In addition, this role will lead a special project to update and consolidate historical donor information, ensuring a complete and accurate institutional record.


Responsibilities:




Maintain, update, and ensure the accuracy of donor and prospect information in the Salesforce fundraising database. Process and record all donations, pledges, and recurring gifts, ensuring timely acknowledgements and tax receipting. Develop, generate, and distribute reports, dashboards, and data analysis to inform campaign progress and decision-making. Provide database training and support to staff as required. Work with the Fund Development team to conduct prospect research using a variety of resources to assess philanthropic interests, giving capacity, and alignment with YMCA priorities. Prepare detailed prospect profiles and briefing notes for fundraising staff and senior leadership. Manage and track the donor and prospect pipeline, ensuring movement through cultivation, solicitation, and stewardship stages. Support stewardship strategies by tracking donor recognition activities and pledge fulfillment. Monitor trends and provide insights to improve donor acquisition, retention, and upgrade strategies. Ensure compliance with CRA regulations, donor privacy, and ethical fundraising standards.

Qualifications:




Post-secondary education in business administration, information management, library sciences, fundraising, social sciences, or related field. Minimum 2-3 years' experience in fundraising, data management, or prospect research, preferably in the nonprofit or charitable sector. Proficiency with donor databases (e.g., Salesforce, Raiser's Edge, DonorPerfect, or equivalent CRM). Strong knowledge of research methodologies, information sources, and fundraising best practices. Advanced proficiency in Microsoft Excel and reporting tools. Excellent attention to detail, organizational skills, and ability to manage multiple priorities. Strong written and verbal communication skills; ability to present data and research findings clearly. Knowledge of CRA regulations related to charitable receipting and donor privacy legislation considered an asset.
