Position Summary
The Data Administrator (DA) will be a key member of the finance and fundraising team, responsible for donor data management, gift processing, donor receipting, and providing donor support. This role ensures the accuracy and integrity of donor records in platforms such as DonorPerfect, Raisin, PaySafe, Givecloud and other fundraising systems.
The DA will serve as the first point of contact for donor inquiries, process donations, and troubleshoot technical issues for fundraising event platforms. They will also generate reports, reconcile revenues, and support fundraising initiatives by providing data analysis, segmentation, and reporting to strengthen donor engagement and organizational accountability.
Duties and Responsibilities
Donor Receipting, Gift Processing & Donor Support (25%)
Manage all aspects of gift entry and receipting, including tax receipts, memorial acknowledgements, monthly donations, and year-end processing.
Ensure compliance with CRA guidelines and charitable sector best practices.
Update and distribute donor thank-you letters.
Provide donor support by responding to inquiries, processing donations by phone, and updating donor records.
Donor Database Management (40%)
Maintain donor database integrity through regular updates, controls, and audits.
Act as the primary lead on external fundraising platforms (Canada Helps, Benevity, etc.), ensuring accurate imports into DonorPerfect.
Provide regular and ad-hoc reporting to support fundraising initiatives and evaluation.
Maintain secure storage of donor-related files, agreements, and documentation.
Develop and maintain process manuals and provide training to team members on database use.
Data Reporting & Analysis (25%)
Segment data and generate lists for campaigns, events, and stewardship initiatives.
Manage list segmentation and imports for e-newsletters, stewardship, and fundraising campaigns.
Support event registrations and donations by troubleshooting donor inquiries (e.g., tax receipts, team name changes, offline donations).
Provide reporting on fundraising targets versus actuals and ensure clean data transfer into DonorPerfect.
Revenue Reconciliation & IT Support (10%)
Reconcile donations recorded in DonorPerfect against deposits and revenues in Quickbooks and bank statements, in collaboration with Finance.
Troubleshoot and resolve IT-related issues for fundraising platforms, acting as a liaison with external vendors.
Support modernization of fundraising and donation platforms, researching and recommending new technologies.
Qualifications
Bachelor's degree in a related field (e.g., Business, Nonprofit Management, Computer Science, Data Management).
Minimum 2-3 years of experience in database management, donor services, or related administrative work.
Proficiency with donor databases (DonorPerfect, Raisin, CanadaHelps, Benevity, PaySafe, Givecloud etc.) and Microsoft Office Suite.
Strong analytical and reporting skills, with experience in data segmentation and reconciliations.
Excellent verbal and written communication skills with a donor-centered approach.
Demonstrated customer service and problem-solving skills.
Ability to work independently, manage multiple priorities, and meet deadlines.
Working Conditions
Standard office environment.
Significant use of computer systems (approx. 80% of time).
Regular phone communication with donors (approx. 20%).
