Role Summary:

Reporting to the Division Manager, the role of the Customer Service Representative is to ensure the planned and efficient dispatching of drivers and deliveries, products, equipment, and vehicles and ensure timely billing for products and services. This role is responsible for the timely and cost-effective ordering of equipment and product and inventory control and is based out of our Picton Division.

In this role you will:

Dispatch Coordination:
  • Prepare the delivery schedule and dispatches drivers in a planned and efficient manner, working with the Division Manager.
  • Dispatch the Petroleum Mechanic Technicians in a planned and efficient manner.
  • Ensure that customer site files are current and up to date to ensure deliveries meet regulatory requirements.
  • Coordinate the delivery of lubricants.
  • Work with the Garage Coordinator to plan and schedule vehicle maintenance and repair.
  • When required, assist in the coordination of DEF deliveries with the Mississauga office.
Inventory & Billing:
  • Undertake monthly inventory counts.
  • Prepare the accurate billing for lubricants, equipment and supplies.
Equipment:
  • Prepare equipment installation schedules and/or repairs.
  • Order equipment and products. i.e. pumps, skid tanks, lubricants, and DEF ensure a working inventory is maintained.
Other:
  • Provide backup support for other CSRs and the Division Manager.
  • Act as backup for the review and completion of daily truck reports.
  • Any other duties which can reasonably be required.
Requirements

What We're Looking For:
  • A minimum of 2 years working an an administrative/clerical, accounting role in a busy office.
  • Working knowledge of local geography is essential.
  • Previous dispatch experience is a significant asset.
  • A demonstrable high degree of computer literacy is essential.
  • Ability to quickly and efficiently analyze and evaluate information used to make sound business decisions.
  • Exceptional communications skills, both verbal and written.
  • Ability to multi-task and juggle competing deadlines and multiple priorities.
