Job Description

Order Management



Receive and process customer purchase orders. Confirm order details (pricing, availability, delivery time). Coordinate with production, shipping, and logistics to meet customer deadlines. Update customers regularly on order status and any delays or changes.

Customer Communication & Support



Respond promptly to customer inquiries via phone, email, or in-person. Handle complaints, returns, or warranty issues professionally. Build and maintain positive customer relationships. Maintain records of customer interactions, transactions, and feedback.

Documentation & Reporting



Prepare quotes, sales orders, delivery notes, and invoices. Maintain accurate customer records in the CRM or ERP system. Generate regular sales or order reports for management.

Cross-functional Coordination



Liaise with production, quality control, warehouse, and logistics teams. Escalate production or delivery issues as needed. Assist the sales team with customer data, order status, and follow-ups.

Customer Feedback & Continuous Improvement



Gather and document customer feedback for internal improvement. Suggest improvements in customer service processes or policies.

Administrative Oversight



Oversee daily office operations, including supplies, equipment, and utilities. Maintain office filing systems (physical and digital). Ensure smooth functioning of office equipment and coordinate repairs.

Scheduling & Coordination



Manage calendars, appointments, and internal meeting scheduling. Coordinate logistics for staff or client meetings and company events.

Staff Support



Act as a liaison between management and staff on administrative matters. Support onboarding of new employees (office orientation, workspace setup). Maintain attendance records and assist HR with timesheets or leave tracking.

Basic Accounting Support



Assist with invoicing, petty cash handling, or expense reporting. Liaise with accounting or finance departments for payment tracking.

Compliance & Cleanliness



Ensure the office complies with safety and regulatory requirements. Oversee cleaning schedules and office upkeep.

Qualifications:



Experience in a production, logistics, or administrative support role within a manufacturing or industrial environment. Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines. Excellent communication and interpersonal skills, both written and verbal. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to work independently and as part of a team in a fast-paced environment. Strong attention to detail and accuracy. Familiarity with safety regulations and procedures. QuickBooks Experience a Plus

Pay: $18.00-$20.00 per hour
