Job Title: Administrative Assistant \xe2\x80\x93 Optical Field~ Fashion ~ Customer Service Job Summary: We are seeking a highly motivated and organized administrative assistant to join our optical boutique. The ideal candidate will have experience in insurance billings, patient file organization, customer service and sales. Responsible for supporting the day-to-day operations of our office, including diagnostic testing, scheduling, and maintaining a clean and organized office environment. Key Responsibilities: Insurance Billings and Reconciliation: Ensure accurate billing of insurance claims and resolve any discrepancies in a timely manner. Patient File Coordination and Data Input: Maintain patient files, update patient information, and ensure all data is entered accurately into our system. Scheduling and Booking: Scheduling exam appointments for patients, coordination and responsibility for keeping the doctors schedule organized full and busy utilizing recalls, pre appointments, and looking for opportunities. Customer Service: Respond to customer inquiries via face to face, email, text, or phone in a polite professional and caring manner. Customer Assistance: You will also be responsible for providing excellent customer service and maintaining a high level of product knowledge. Greeting customers, answer their questions, and provide product information and recommendations. Sales: Close sales and meet sales goals by effectively communicating the features and benefits of our products. Customer Service: Respond to customer inquiries and resolve any issues in a timely and professional manner. Product Knowledge: Stay up-to-date on our products and industry trends, and share this knowledge with customers. Store Maintenance: Keep the store organized, clean, and well-stocked Office Maintenance: Maintain a clean and organized office environment, including cleaning floors, disposing of garbage, and dusting displays. Requirements: Strong organizational skills and the ability to multitask. Excellent communication skills, both verbal and written. It is important to have a professional, yet fashion forward personal style. Good customer service skills, with a polite friendly, approachable and caring attitude. Self-motivated and able to work independently. Familiarity with Microsoft Office and other office management tools. Education and Experience: Previous experience in an administrative role, preferably in the optical field. Knowledge of insurance billing and patient file management.
