Customer Service / Administrative Assistant XTL Transport Inc. is currently looking for a Customer Service / Administrative Assistant for our Langley, BC Terminal! About XTL Transport Inc.: Administrative Assignments
Improve driver retention by providing Excellent Customer Service and always being fair with all drivers
Manage and maintain all Accessorial and additional Billing
Order and maintain office supplies
Organize and file documents
Answer phone calls and direct them to the correct party as needed
Set up and track all outgoing mail packages
Ensure absolute data integrity when arranging, managing and executing orders
Enter Vacation Request
Track Sick Day tracking
Enter all driver payroll into system: Sort through the drivers\xe2\x80\x99 paperwork and file the BOL\'s, Audit the trip sheets with the approved guidelines, Enter the drivers times in Payroll screen that meet the criteria and any trip sheets that do not meet the criteria are handed to the Operations Manager so that they can be scrutinized further
Customer Service
Ensure all EDI orders are accepted, updated and reflected accurately in the TMS
SD loads during your shift and do TMS updates
Ensure audit screen is up to date and reflected in the TMS
Ensure our weekly Costco OTD report is clean and accurate
Update appointments as per customer requests while updating drivers of any changes
Enter comment for Dangerous goods on orders with BOL sent
Ensuring data integrity including customer codes, pick-up and delivery dates and times, trailer numbers, bill of lading numbers, weight, seal number, temperature, and all special requirement flags to achieve customer commitments and invoice accurately.
Coordinate pickup and delivery appointments at customer locations
Creating new customer codes and master orders
Communicate with customers of any delays or change in appointments
Responsible for customer communication, ensure customers receive a response within 15 mins. Work with dispatch on response.
Provide information when required regarding our deliveries
Implement any new reporting procedures required by our Customer
Other duties as assigned by the Operations/ Terminal Manager
Skills & Requirements
Completion of a Post Secondary Degree or Diploma
Knowledge of Microsoft applications such as Word, Excel and PowerPoint
Excellent Oral and Written communication skills
Strong Analytical capabilities with excellent attention to detail
Team player who is able to work well in groups
Customer-focused attitude, with high level of professionalism and discretion
Organization and Time management skills
Ability to Prioritize and Manage Time
Schedule Monday to Friday, 8am to 4:30 pm Benefits
