Your opportunity:

The Governance and Curriculum Services office provides research, policy analysis and development, and records management functions for the governing body of the Faculty, ensuring strict confidentiality. The office has two main areas, Governance; and Academic Integrity and Petitions. The Governance area provides for formal secretariat support to meetings of Faculty Council and its standing committees, ensuring governance bodies have the necessary information to engage in substantive discussions and to make informed decisions. The Academic Integrity and Petitions area manages appeals tribunals, the pre-hearing preparation of student appeals files on academic standing, the inclusion of documents or other evidence and the jurisdiction of governance bodies to hear an appeal.

Under the direction of the Associate Director, Governance and Curriculum Services, the Curriculum and Governance Coordinator incumbent administers the day-to-day client service and administrative processes concerning changes to the Arts & Science undergraduate and graduate curriculum. This includes the approval process for academic change, the successful publication of the undergraduate Arts & Science Calendar, and the transmission of approved changes to graduate curriculum for publication in the School of Graduate Studies Calendar.

Your responsibilities will include:

  • Acting as the first point of contact for general enquiries
  • Coordinating tasks for projects and other strategic initiatives with stakeholders
  • Handling sensitive and/or confidential information
  • Maintaining information on digital platforms
  • Taking and distributing meeting minutes
  • Writing routine documents and correspondence
  • Delivering presentations to promote programs, opportunities and/or initiatives
  • Determining logistical details and activities for events and/or programming
Essential Qualifications:
  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum three years of recent and related administrative experience in a university or comparable work environment.
  • Experience working closely with university faculty and administration.
  • Experience advising clients on deadlines and use of administrative tools and technology.
  • Experience with the use of digital platforms such as Curriculum Management (CM) and/or Calendar Publisher (CP).
  • Experience in developing and presenting orientation information to a wide range of audiences.
  • Experience updating content on the web.
  • Experience taking meeting minutes.
  • Demonstrated skills in developing readable, written instructional/informational resources in print and on the web.
  • Experience organizing orientation workshops.
  • Excellent communication skills, both written and oral
  • Skills in producing and giving orientation presentations to small or large groups
  • Excellent interpersonal skills with demonstrated service skills and professionalism among peers, academics and students.
  • Excellent problem-solving skills
  • Superior organizational and time-management skills
  • Strong computer skills with knowledge of standard office software (e.g., MS Office applications or equivalents) as well as web-based content management systems and platforms (e.g., Drupal).
