Working for the College of Natural and Applied Sciences (CNAS)
The College of Natural and Applied Sciences (CNAS) spans the entire range of scientific teaching and research, from pure and fundamental discovery that advances our understanding of the world around us to the direct application of science and technology that transforms and improves lives and sustains the environment. CNAS is home to over 14,000 undergraduate students and 3,000 graduate students through the Faculties of Agricultural, Life & Environmental Sciences; Engineering; and Science. The Office of Education is comprised of administrative teams that provide academic services related to course scheduling and timetabling, student systems, academic integrity and discipline, governance and academic initiatives, and graduate administration.
Position Summary
Reporting to the Director, Office of Education, the Course Scheduling and Timetabling Coordinator (CSTC) provides dedicated support to academic units in the College, working collaboratively with academic and administrative leaders to construct an academic timetable that best meets the needs of students (undergraduate and graduate), instructors and academic programs. They ensure that class and exam scheduling, enrollment restrictions, and space assignments are accurately reflected in Campus Solutions.
They are also responsible for documenting timelines, room booking, and exam planning processes, and ensuring that those procedures are in practice and completed to schedule. By providing expert policy and business process support, the CSTC is seen as a knowledge expert who works proactively to resolve issues and continually improve processes. Through this understanding of process, the CSTC is well positioned to provide superior service across Faculties and Departments as well as liaising with the Registrar's Office.
Duties
Gather data and information from all teaching areas (both internal and external courses) in order to effectively advise and inform academic leaders in faculties and departments, and ensure effective course and timetable decisions.
Manage the development of a Course Master Timetable to maximize teaching efficiency, minimize course conflicts, and provide consistent course management across the College.
Create and maintain term-by-term schedules for each academic program offered by the Faculties in the College to facilitate conflict-free schedules and to assist with optimizing student, instructor, and facility schedules.
Maintain a detailed understanding of Campus Solutions to be able to problem-solve and troubleshoot errors and work with the Exams & Timetabling Centre of Expertise (ETT) to do so when warranted.
Monitor enrollment pressures to advise academic leaders on strategic timetable management and to implement appropriate changes to the course schedule throughout the registration cycle.
Act as the first point of contact for all course scheduling and timetabling matters
Respond to specific inquiries from faculty and academic leaders. Provides information related to class scheduling and timetabling for the entire College.
Provide statistical reports for analysis and planning purposes.
Reference policy and procedure information as needed from avenues such as Faculty Councils, the University Calendar, UAPPOL, and GFC.
Maintain area/program records. Develops and maintains file systems that provide effective course management and teaching support.
Review proposed changes to courses or programs for the University Calendar and consider implications (e.g., impacts to class scheduling, graduation requirements, other Faculties, and other areas of the Calendar that will need amendment), draft appropriate documents and/or correspondence, and respond with recommended updates.
Qualifications
Undergraduate degree; an equivalent combination of education and experience may be considered.
Two years' experience in a related role.
Demonstrated ability to develop positive and professional working relationships with both internal/external clients and stakeholders at all organizational levels.
Ability to work independently and to build and maintain professional working relationships as a trusted team member and positive representative of the College.
Advanced knowledge and proficiency in PeopleSoft (Campus Solutions) and Microsoft Office, especially Excel, are essential. Knowledge of Google Suite is an asset.
Strong knowledge of University policies and procedures.
Excellent communication (oral and written), interpersonal and organizational skills. Proven ability to multitask, prioritize, work independently and develop strategies to solve problems while maintaining superior accuracy.
Strong analytical and organizational skills, including problem assessment and escalation.
Demonstrated excellence in paying attention to detail.
Ability to work with multiple stakeholders and to coordinate competing demands.
Knowledge of admissions and course registration processes, academic program requirements, and calendar changes.
