For more information about the College of Social Sciences and Humanities:PositionReporting to the Director, Office of Education, the Course Scheduling and Timetabling Coordinator (CSTC) provides dedicated support to academic units in the College, working collaboratively with academic and administrative leaders to construct an academic timetable that best meets the needs of students (undergraduate and graduate), professors and academic programs. They ensure that class and exam scheduling, enrollment restrictions, and space assignments are accurately reflected in Campus Solutions. They are also responsible for documenting timelines, room booking and exam planning processes, and ensuring that those procedures are in practice and completed to schedule. By providing expert policy and business process support, the CSTC is seen as a knowledge expert who works proactively to resolve issues and continually improve processes. Through this understanding of process the CSTC is well positioned to provide superior service across Faculties and Departments as well as liaising with the Registrar's Office.Duties

  • Gathers data and information from all teaching areas within the College in order to effectively advise and inform academic leaders in faculties and departments and ensure effective course and timetable decisions.
  • Manages the development of a Course Master Timetable to maximize teaching efficiency, minimize course conflicts, and provide consistent course management across the College.
  • Maintains a detailed understanding of Campus Solutions to be able to problem solve and troubleshoot errors, and works with the Exams & Timetabling Centre of Expertise (ETT) to do so when warranted.
  • Acts as the first point of contact for all course scheduling and timetabling matters.
  • Provides information related to class scheduling and timetabling for the entire College, including statistical reports for analysis and planning purposes.
References policy and procedure information as needed from avenues such as Faculty Councils, the University Calendar, UAPPOL and GFC.Reviews proposed changes to courses or programs for the University Calendar and considers implications (e.g., impacts to class scheduling, graduation requirements, other Faculties, other areas of the Calendar that will need amendment), and drafts appropriate documents and/or correspondence and responds with recommended updates.Minimum Qualifications
  • Undergraduate degree; an equivalent combination of education and experience may be considered.
  • Demonstrated ability to develop positive and professional working relationships with both internal/external clients, and stakeholders at all organizational levels.
  • Ability to work independently and to build and maintain professional working relationships as a trusted team member and positive representative of the College.
  • Excellent communication (oral and written), interpersonal and organizational skills. Proven ability to multitask, prioritize, and develop strategies to solve problems while maintaining superior accuracy.
  • Strong analytical and organizational skills, including problem assessment and escalation.
  • Demonstrated excellence in paying attention to detail.
  • Ability to work with multiple stakeholders, and to coordinate competing demands.
  • Intermediate knowledge of Google Suite, and Microsoft Office with an emphasis on Excel.
Preferred Qualifications
  • Strong knowledge of University policies and procedures.
  • Two years experience in a related role.
  • Knowledge of admissions and course registration processes, academic program requirements, calendar changes.
  • Knowledge of and proficiency in PeopleSoft (Campus Solutions) preferred.
