DUTIES:

  • Reporting to the City Clerk/Licence Commissioner, this position will be responsible to coordinate administrative and public relations support functions for City Councillors.
  • This individual will be responsible to conduct research, reviews, analysis, monitoring, surveys and prepare Council reports on municipal and ward specific issues including matters of a confidential nature.
  • Investigate and provide assistance with responses/referrals to inquiries received from constituents, external organizations, senior levels of government and staff in a timely manner.
  • Attend meetings with or on behalf of the Councillors as required and remain current on related issues and outcomes.
  • Coordinate travel arrangements for workshops/conferences/events, planning and hosting of local conferences/meetings with government dignitaries and other governmental organizations/associations.
  • Coordinating, attending and maintaining records of ward public/town hall meetings or special meetings/community events including minutes, notices and media advertisements as required.
  • Provide assistance and follow-up on initiatives arising from various committees of Council.
  • Compose communication/correspondence, and prepare presentation material on behalf of Councillors.
  • Provide advice and information on corporate policy, practices and other relevant regulations/legislation.
  • Liaise with governmental officials, general public, organizations, staff and other members of Council including matters of a confidential nature with tactfulness and diplomacy.
  • Will be required to exercise good judgment and discretion in dealing with matters of a confidential/sensitive nature and with contentious issues.
  • Maintain records/files and appropriate reference material.
  • Schedule appointments and receive visitors/guests meeting with Councillors.
  • Will be required to balance Council priorities and coordinate activities with other staff in the Corporation; Will perform Occupational Health and Safety duties as outlined in the Corporation\xe2\x80\x99s Health and Safety Program.
  • Will perform other related duties as required.
QUALIFICATIONS:
  • Must have a University degree in Business Administration, Journalism, Communications, Public Administration, Political or Social Science or Ontario Ministry of Education equivalency and a minimum of two (2) years experience in a computerized office environment using Microsoft applications;
  • OR Must have a post secondary school community College diploma in Business Administration, Journalism, Communications, Public Administration, Political or Social Science or Ontario Ministry of Education equivalency and a minimum of four (4) years experience in a computerized office environment using Microsoft applications;
  • Must have the ability to travel to off site locations in a timely and expedient manner as required. If method of travel is by vehicle, a current valid and lawful Driver\xe2\x80\x99s Licence is required in accordance with the Highway Traffic Act and must provide a driver\xe2\x80\x99s abstract as a condition of employment.
  • Must be able to work after hours and/or respond to requests by a member of Council when required.
  • Must have the ability to accurately interpret reports, by-laws, statutes and Council resolutions.
  • Must possess well-developed written and oral communication skills, and interpersonal skills and have the ability to relate to the public in a pleasant manner.
  • Must have the ability to work independently with minimal direction and supervision.
  • Should have knowledge of the Occupational Health and Safety Act, its regulations and knowledge of the hazards associated with the work.
  • Preference may be given to those applicants also with/enrolled in a municipal administration designation/program such as AMCT.
  • The physical demands analysis associated with this job indicates a limited/sedentary level of work.
