Empowered by the First Nations Leadership Council and in partnership with the provincial and federal governments, the BC First Nations Justice Council (BCFNJC) is responsible to 204 First Nations in BC. Our mandate is to reduce the overrepresentation of Indigenous people in the criminal justice system and to support Nations as they move to sovereignty over justice.

POSITION SUMMARY:
The Administrative Assistant will provide administrative support to the Executive Administrator.
This position will provide exceptional administrative support, ensuring smooth operations and effective communication. It requires the ability to flex and continue to perform job duties and responsibilities in a way that responds to the operational needs of the organization.

JOB DUTIES AND RESPONSIBILITIES:

  • Manage and coordinate executives\xe2\x80\x99 calendars, appointments, and meetings.
  • Prepare and distribute relevant documents, reports, and presentations for internal and external parties.
  • Act as a liaison between departments, facilitating communication and collaboration on projects and initiatives.
  • Support with the organization and coordination of departmental events, conferences, and team-building activities.
  • Draft, proofread, and edit correspondence, emails, and other communications on behalf of the departments.
  • Assist in budget management, expense tracking, and invoice processing for both departments.
  • Conduct research and gather information as needed to support departmental projects and decision-making.
  • Coordinate travel arrangements with our travel agent and communicate, accommodations, and itineraries for department members.
  • Maintain an efficient electronic filing system, ensuring easy retrieval of documents.
  • Handle confidential information with discretion and professionalism.
  • Prepare meeting agendas, keep timely and accurate meeting minutes for various meetings (Bundle meetings, Steering Committee meetings and others as required).
  • Utilize existing templates, and where necessary create new templates, that can be used to provide updates in a clear and efficient manner.
  • Retrieve, organize, and communicate up to date strategy information related to the Justice Strategy.
  • Provide administrative support for special projects and tasks as assigned.
  • Contribute to positive team dynamics.
  • Provide administrative back-up support to other administrative staff and to the Executive Administrator, as required.
  • Monitor the BCFNJC main phone line and info email inbox on a daily basis.
  • Other tasks and duties as required.
QUALIFICATIONS AND WORK EXPERIENCE:
  • Education in business administration or a combination of relevant education and experience is preferred.
  • 3-5 years\xe2\x80\x99 experience as an executive assistant or in a similar administrative role.
  • Ability to provide high quality support that anticipates the needs of the departments.
  • Excellent organizational skills and the ability to multitask in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Teams, Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to maintain a high level of professionalism and confidentiality.
  • Strong attention to detail and problem-solving skills.
  • Knowledge of First Nations history, culture and law.
  • Experience in Indigenous community engagement.
  • Experience working with a diverse population of organizations and stakeholders.
  • Adaptability and willingness to learn new skills.
  • Positive attitude and ability to work effectively in a team.
  • Proactive and self-motivated with a strong sense of initiative.
  • Ability to prioritize tasks and manage time efficiently.
  • Experience in handling sensitive and confidential information with care.
  • Strong presentation skills.
  • A valid BC Driver\xe2\x80\x99s License and the ability to travel throughout the province from time to time.
  • A satisfactory criminal record check will be a condition of employment.
Reporting: Executive Administrator or designate
Locations: Westbank Head Office
Office Type: In-Office or Hybrid
Salary: $60,000 - $65,000 annually
Benefits: Extended benefits package that includes health and dental, personal days, paid vacation, and RRSP/TFSA savings plans
Hours: Full-time (35hours / week); 8:30am - 4:30pm Mondays to Fridays
