Hi, my name is Sheryl Schneider, the Director of Corporate Services at Versett. We are looking for a Corporate Services Specialist to join our team. As a member of our global team, you will be working closely with team members and role holders to shape world-class solutions and experiences for our clients. As a Corporate Services Specialist, you will take a leading role in managing the efficient day-to-day operations of the Versett Vancouver office, support the development of our corporate policies and procedures, as well as join our People & Culture team in supporting and caring for our team members. At the forefront of the role, this individual is a key part of the Versett experience for employees, clients, partners and many others. Everyone should receive an exceptional experience interacting with us. This role coordinates with many role holders internally and externally of Versett so teamwork and clear communication is critical.

Responsibilities
Corporate Services Support
  • Support our team and managers on matters relating to corporate services as outlined in Company policies and procedures, e.g. business travel, subscriptions, building access.
  • Support the development, coordination and review of new and existing policies, procedures, guidelines and work instructions
  • Support asset and subscription management (e.g. audit and report on monthly subscriptions, update and maintain 1Password vaults and other support as required)
  • Provide general administrative support, including data administration and maintenance, respond to inquiries, ensure office equipment (e.g. printer) works properly
  • Maintain contractor folder & provide monthly reporting on contractors, complete weekly reporting on employee and contractor head-counts)
  • Coordinate all needs associated with the office including liaising with couriers, managing recycling, stationary, supplies, cleaners, booking elevators, understanding building access, emergency exits, safety plans and employee discount programs.

People Processes and Events - Partner with the P&C and Operations team to support onboarding, off-boarding and organize company celebrations and events.
  • Plan and organize company events throughout the year, such as, Versett Camp and ad hoc events
  • Assist with Onboarding and Off-boarding processes to ensure every team member has a great first day at Versett, including posting a welcome note and ensuring they have equipment, swag, accounts set up etc and a great off-boarding experience when the time comes
  • Manage and audit Uber Eats and Uber Rides vouchers.

Manage V// Vancouver office - You will manage our Vancouver office space, specifically:
  • Create a welcoming and inclusive environment in which the team wants to be together to do their best work, including maintaining a clean, tidy office environment, updating signage (instructions, cleaning etc.)
  • Provide access to contractors, visitors, vendors and trades during regular posted business hours. (Monday - Friday 8:30am - 5:30pm)
  • Liaison with the landlord for any building issues.
  • Manage parking and bike parking (when applicable)
  • Maintain inventory of all office keys and fobs, programming and de-programming as needed.
  • Ensure all emergency exists and electrical panels are easily accessible, and first aid kits are compliant with provincial legislation.
  • Project work as assigned by Director, Corporate Services (e.g. stationery program, recycling program for all Versett Canadian offices)

  • Computer skills including the ability to effectively use email and office programs (spreadsheets, word processors)
