About the Role



We are seeking an Office Administrator for our Corporate office in Calgary. The Office Administrator assumes stewardship over the smooth day to day operation of the office environment. In addition to providing general administrative support, they manage various servicing contracts, fleet maintenance, events planning, office stock and equipment, and the office expenses.



By proactively soliciting feedback and actioning improvements, the office administrator is constantly working to foster an efficient, positive environment for everyone who works there.



Responsibilities:



General Administration

Greet and welcome visitors in a professional and friendly manner. Answer, screen, and direct incoming calls and emails. Maintain visitor logs as required. Keep the reception area organized, clean, and presentable. Coordinate office communications. Support internal departments with clerical, scheduling, and reporting tasks. Shipping and receiving.

Facilities Administration

Coordinate work with the property manager. Coordinate office maintenance and repairs. Coordinate new hire orientations (key fob, alarm code, tours). Manage office service contracts (Printer, alarms, shredding, snow removal etc...) Order and maintain kitchen and office supplies and equipment. Work with the local Joint Health and Safety Committee representative and managers to support Health & Safety initiatives and ensure proper procedures and resources are in place.

Office Culture

Organize and lead employee engagement activities. Plan and execute on large office events (Christmas parties, office BBQs, etc.). Administer regular employee recognition program for the company.

Fleet Administration

Maintain inventory of local vehicles, registrations, insurance, and compliance documentation. Track and schedule regular vehicle maintenance, servicing, and safety inspections. Liaise with vendors for repairs, maintenance, and fleet services. Other fleet administrative tasks as required.

Qualifications & Skills

Proven experience in office administration and/or HR, safety, or fleet coordination. Strong organizational, multitasking, and time management skills. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and database management. Ability to maintain confidentiality and handle sensitive information. Strong interpersonal skills with a customer-service focus.
