Coordonnateurrice d'etage - Facilities Coordinator
Ricoh est actuellement a la recherche d'une personne orientee rs la carriere pour coordonner quotidiennement avec les entrepreneurs externes et les services internes une grande variete de taches liees a l'entretien et a l'exploitation des terrains du batiment. Le coordinateur des installations effectuera une variete de taches pour soutenir le batiment et les operations quotidiennes de la division, telles que les services de bureau, y compris le courrier, la messagerie, la duplication et la securite.
RESPONSABILITES
Programmer et assigner les demandes de travail pour les entrepreneurs exterieurs et les services internes, et superviser l'achevement des projets et des services assignes, c'est-a-dire l'electricite, la cabine voix/donnees, la plomberie, l'elimination des dechets, le recyclage, les reparations, la peinture, le nettoyage des moquettes, etc.
Apporter un soutien administratif a la formation sur l'activation/desactivation du systeme d'alarme pour les nouveaux employes.
maintenir une base de donnees des fournisseurs de services, des contrats et des factures payees
Veiller a ce que les services de conciergerie du batiment respectent les normes de qualite.
Assurer la liaison avec la societe de securite du batiment pour garantir la fiabilite du systeme d'alarme du batiment.
Peut etre amene a repondre a des alarmes de securite en dehors des heures de bureau.
emettre, activer et desactiver les cartes magnetiques si necessaire
Signaler au service de maintenance les problemes d'entretien du batiment (plomberie, electricite, etc.).
Controler l'utilisation des fournitures de cuisine et entretenir les equipements et appareils de cuisine.
repondre a diverses demandes des clients : couper les cles des bureaux/armoires, suspendre les armoires, commander des boissons pour les reunions, etc.
Coordination des demenagements de bureaux et examen et modification des plans d'etage. Travailler avec les fournisseurs concernes pour gerer les demenagements de bureaux et les commandes de mobilier.
Coordonner les petits projets de construction, par exemple la transformation d'une salle de conference en bureau.
Repondre aux demandes de la division concernant la commande de nouveaux meubles de bureau, les reparations et les modifications du mobilier existant. Coordonner la reconfiguration de l'espace de bureau. Maintenir l'inventaire du mobilier de bureau usage de la division et le rendre disponible pour d'autres usages.
Concevoir, developper et documenter des processus et des procedures specifiques a l'environnement des clients de soutien.
Rapports mensuels sur les accords de niveau de service et les indicateurs
Fournir les niveaux de service convenus (tels que definis dans l'accord de service du client).
QUALIFICATIONS
FORMATION ET EXPERIENCE :
Formation en rapport avec l'industrie
Diplome d'etudes superieures exige
Au moins deux ans d'experience dans des fonctions comportant des responsabilites, un champ d'action et des competences similaires.
Experience prealable en matiere de service, d'assistance, de technique ou d'exploitation avec les clients.
COMPETENCES :
Excellentes competences interpersonnelles avec la capacite de developper rapidement des relations d'affaires
Forte motivation personnelle pour obtenir des resultats
Excellentes capacites de communication, tant a l'oral qu'a l'ecrit
Utilisation efficace de Microsoft Office
Capacite a soulever des charges de plus de 30 kg si necessaire.
Permis de conduire valide
Facilities Coordinator
Ricoh is currently looking for career-oriented individual to coordinate on a daily basis with outside contractors and in-house services performing a wide variety of tasks related to the maintenance and operation of the building grounds. The Facilities Coordinator with perform a variety of duties to support the building and Division's daily operations such as office services including mail, courier, duplication and security.
RESPONSIBLILTIES

  • Schedule and assign work requests for outside contractors and in-house services, and oversee completion of assigned projects and services i.e., electrical, voice/data cabin, plumbing, waste disposal, recycling, repairs, painting, carpet cleaning etc
  • Administrative support for training on alarm system activation/ deactivation for new hires
  • Maintain a database of service vendors, contracts and invoices paid
  • Ensure janitorial services in the building meet quality standards
  • Liaise with building security company to ensure the reliability of the building alarm system
  • May be required to attend to security alarms after hours
  • Issue, activate and deactivate swipe cards as necessary
  • Report building maintenance issues i.e., plumbing, electrical to the Maintenance Department
  • Monitor the use of kitchen supplies and maintain kitchen equipment/appliances
  • Respond to a variety of Client requests: cut office/cabinet keys, hang cabinets, order beverages for meetings etc.
  • Coordination of office moves and review and change of floor plans. Work with applicable vendors to manage office moves and order of furniture
  • Coordinate small construction projects i.e., conversion of conference room to office
  • Respond to requests from the Division to order new office furniture, repairs and modifications of existing furniture. Coordinate office space reconfiguration. Maintain and inventory of used office furniture for the Division, making it available for other use
  • Design, develop and document processes and procedures specific to support Clients environment
  • Monthly SLA and metric reporting
  • Deliver agreed levels of service (as defined in customer SLA)
QUALIFICATIONS
EDUCATION & EXPERIENCE:
  • Industry related training
  • Post-secondary diploma is required
  • Minimum 2 years of experience in roles with similar responsibility, scope and skills
  • Previous service, support, technical or operational experience with customers
SKILLS:
  • Excellent interpersonal skills with the ability to quickly develop business relationships
  • Strong self-motivation to drive results
  • Excellent communication skills both verbal and written
  • Effective use of Microsoft Office
  • Ability to lift 30+lbs. as
