The Coordinator, Project & Administrative Support works in collaboration with the Network Director to identify and prioritize projects and is responsible for the coordination of projects under the broad areas of knowledge exchange, information dissemination, and education for key partners including patients, community providers, and researchers. The Project Coordinator is actively involved in the planning, development, implementation, and evaluation of such projects, and maintains primary project coordination responsibility. Supports team efforts with internal and external partners on ongoing programs and initiatives to improve the quality and accessibility of health services and in related research and knowledge exchange activities. Coordinates a diversity of projects of varying size and scope in a complex and changing multidisciplinary environment. In addition, the Coordinator supports the Directors with communicating to internal and external partners such as the post covid recovery clinic, research enterprises, health authorities and physicians

What you\xe2\x80\x99ll do

  • Coordinates the execution of projects, assuring they are done in an efficient manner, that they adhere to project protocols, that they conform to applicable institutional and ethical policies and procedures and privacy legislation, and that they are completed within the required timelines. Supports portfolio and committee chairs with the coordinating the implementation of approved recommendations resulting from research, best practice, and policy reviews.
  • Identifies, collects, and analyzes relevant information relating to current projects, and provides input and recommendations to project/program team for development, implementation, analysis, dissemination of findings, and policy/practice implications.
  • Develops content for project management tools and supporting documents such as charters; contracts; Requests for Proposals (RFPs), by planning, writing and determining deliverables, timelines and methodologies in consultation with leadership. Utilizes a variety of software applications to ensure professional standards are maintained, relevant and current data is used, and end product is appropriately and professionally formatted. Compiles information into structured reports.
  • Participates in the development of budget, monitors expenses and variance reporting, authorizes expense reimbursements and invoices up to a pre-determined limit; and ensures costs are allocated to appropriate budgets. Provides regular updated budget summary/milestone information to PC-ICCN Directors. Completes purchase requisitions/online purchasing and forwards for processing and ensures invoices are authorized and submitted for payment.
  • Presents project updates to internal stakeholder groups, external agencies, organizations, and other stakeholders. Coordinates evaluation surveys and needs assessment reports. Prepares data entry file for survey results.
  • Assists with the development of web communications and related materials. Initiates, and provides support in the development, maintenance and updates of web and social media content.
  • Coordinates and attends committee meetings ensuring well-defined and timely agendas, identification of and notification to interested parties, compilation of background information and supporting materials and preparation of packages/summary documents to assist in decision making and meeting facilitation. Makes catering, travel and accommodation arrangements. Provides administrative support to other leaders or projects or specific tasks within PC-ICCN, where assigned.
  • Performs other related duties as assigned.
What you bring

Qualifications
  • A level of education, training and experience equivalent to a Bachelor\xe2\x80\x99s degree in Health or Social Sciences plus a three (3) years in a responsible research assistant, project coordinator, or policy analyst role in a health, social services, government, or community organization.
  • Strong interpersonal and communication skills and the ability to demonstrate good judgment, tact and discretion. Detail oriented and able to complete accurate work in a timely matter. Demonstrated time management skills and ability to assist others in meeting deadlines. Knowledge of and experience with grant applications. Knowledge and experience in budget preparation, tracking expenditures and identifying sources of variance. Proficient in scientific and medical terminology. Related experience in conducting literature searches and reviews, best practice reviews, policy analysis, working collaboratively with a wide range of internal and external stakeholder groups. Ability to work both independently and as team leader to organize work and manage multiple priorities in a fast-paced environment. Demonstrated ability to make sound decisions and resolve administrative issues/problems. Fully proficient in the use of a variety of software packages including word processing, spreadsheets and databases and related equipment. Demonstrated ability to model and support full team commitment to Indigenous Cultural Safety and anti-racism.

Job Type: Regular, Full-time
Salary Range: $52,156 - $68,455 /year. The starting salary for this position would be determined with consideration of the successful candidate\xe2\x80\x99s relevant education and experience, and would be in alignment with the provincial compensation reference plan. Salary will be prorated accordingly for part time roles.
