Description




Join our dynamic team at the University of Ottawa Medical Associates (UMA) in the position of Coordinator for our Member Support Office at the General Campus. The Coordinator, Member Support plays a key role assisting with the administration of initiatives and programs which support and facilitate member development and career progression. This role involves providing comprehensive logistical and administrative support to ensure the effective implementation and execution of DoM programs.

Responsibilities



(This is not a complete list):Provides administrative support to the professional and skills development programs and initiatives of the Department of Medicine such as scheduling events, workshops, professional development, courses, etc. Track participation and collect evaluation data for the program Assist with the development and preparation of training materials Main point of contact for coordinating, scheduling, enrolment, and logistics of CPD programs including the Department Faculty Teaching Program (DFTP), POCUS, and Medical Grand Rounds. Coordinate the recruitment of instructors and speakers. Review and summarize evaluations and coordinate post-training debriefs. Maintain and update program documentation, tools, and resources, including e-learning modules, etc. Coordinate meetings for newly recruited physicians Serve as an essential resource as the first point of contact for the Office of Member Support Coordinate and participate in ad hoc and committee meetings (virtual and on site) as directed (create agendas, take minutes, coordinate logistics as required, etc.) on behalf of the Office of Member Support, programs, and program physician leaders. Collaborate with Lead, Member Support to identify operational challenges or gaps and develop and implement solutions and/or efficiencies. Assist with the development and distribution of surveys and program/initiative evaluation and feedback tools; track and maintain data/metrics as directed and using a database when required Draft departmental and program communications such as handouts, posters, and e-learning materials using PowerPoint, Canva, etc.

Qualifications



Post-secondary education preferably in administration, education, or a related discipline or a combination of related education and experience 5-7 years recent related administrative experience, preference will be given to those with experience in an academic environment. Experience working with databases to track, monitor, and synthesize data. Excellent computer proficiency and aptitude (e.g. MS Office Suite, SharePoint, databases, web-based programs, generative AI, etc.). Experience using survey tools. Experience coordinating events is an asset. Preferred knowledge and/or experience with Hospital and/or University processes and policies as well as professional licensing bodies and associations. Proven organizational and time-management skills required to handle multiple activities. Ability to manage competing priorities and work independently in a fast-paced environment, while maintaining a high degree of accuracy and quality. High attention to detail. Ability to handle highly sensitive and confidential information. Strong written and verbal communication skills; ability to maintain high degree of professionalism in communications. Strong interpersonal skills to foster community with members as first point of contact. Demonstrated the ability to take initiative, problem-solve and well-developed judgement skills. Ability to work independently and as a team member. Establish strong working and cooperative relationships with physicians and staff. Proficiency in speaking and comprehending both English and French (Level B+) is an asset.
