Job Description




The Royal Canadian Mint is hiring a Coordinator, Event Planning & Logistics who can thrive in a dynamic and inclusive environment.
Reporting to the Director Corporate Governance & Linguistic Services, the Coordinator, Event Planning & Logistics is responsible for supporting compliance with statutory and regulatory requirements while leading all logistical and administrative matters related to the Mint\xe2\x80\x99s Board of Directors.

Essential Duties and Responsibilities


  • Plans and executes Board of Directors related events and activities, virtually or physically in an environment that prone confidentiality & discretion.
  • Manages all financial matters related to Board activities, including vendors relationships, procurement, account payables and budget monitoring.
  • Manages all logistics for regular, special, preparatory or teleconference meetings of the Board and its Committees (catering services, simultaneous translation, audio-visual requirements, hotel reservations and conference room rentals, etc. as required) including developing plans for potential event venues and makes strategic recommendations to the Corporate Secretary and President & CEO.
  • Develops and maintains a Mint Board of Directors Administrative Procedures Manual while aspiring to continually improve efficiencies and automate processes.
  • Provides direct support to the members of the Board of Directors as well as the Corporate & Legal Affairs leadership team.

Requirements


  • College diploma or certificate in related area (event planning, communications, administration) or a combination of education and relevant work experience will be considered.
  • Minimum of 5 years of related business experience and administration experience.
  • Problem solving and creative solutioning.
  • Advanced skills in Microsoft Office Suite (Word, Excel and PowerPoint, Adobe).
  • Strong knowledge of virtual Collaboration Tools such as Zoom, Skype and others.
  • Superior written and oral communication skills.
  • Strong organizations and time management skills.
  • Bilingualism (English and French) mandatory.
