Job Summary:

Reporting to the Director, Business Planning and Asset Development, the Administration Coordinator, Business Planning provides proactive administrative support to the Copper Growth Management team by supporting efficient business processes, record keeping, financial and operational analysis.

Responsibilities:

  • Be a courageous safety leader, lead by example, and cultivate a proactive safety and sustainability culture based on the common values of health, safety, environment, and respect for communities\' interests and values;
  • Understand priorities and proactively anticipate needs
  • Manage departmental digital filing system and records management (including documents, images, data, maps etc.) and administration of SharePoint and digital collaboration sites including the VRIFY and Llamazoo virtual reality platforms
  • Upkeep the Copper Growth Vetted and Approved photo library, ensuring photos are updated and consents are obtained; manage the External Presentations approval process and keep the library updated
  • Manage workflow and schedule for both departmental and interdepartmental requirements to ensure group deliverables are coordinated, collated, completed and delivered within set deadlines
  • Facilitate internal and external administrative coordination for the team including, for example, sourcing endorsement/signatures on documents, managing legal and commercial agreements and contracts, tracking key dates and deliverables, coordinating the team\'s schedules and group calendar, etc.
  • Support administrative and governance requirements including meeting, conference and event planning and logistics (room bookings, IT requirements, catering and room layout, agendas, pre-reads, presentations, drafting meeting minutes, summarizing, and tracking completion of, action items, post-meeting clean-up, travel bookings)
  • Manage Copper Growth\'s contacts list and Team\'s site
  • Prepare and process the team\'s expense and cost reports and reconcile corporate credit card transactions; provide support for general budget and monthly cost reports including budget forecasting and variance tracking with the Business Coordinator
  • Submit Service Desk requests for software and hardware issues as required
  • Accurately assemble records and analyze data relevant to department reporting requirements (e.g., employee time sheet information, safety statistics, weekly report compilation, Delegation of Authority, including annual Delegate Acknowledgements, Stage Gate Reviews etc.)
  • Assist with Teck\'s participation at key local and international conferences, including conference preparation, participant list, hotel rooming, onsite coordination, execution, and take down process
  • Handle assignments involving highly confidential matters with utmost care and attention
  • Build and manage relationships with internal and external stakeholders including health and safety, project development, operations, technical, SERA, finance and accounting personnel

Qualifications:
  • Minimum college diploma or equivalent experience
  • 5 to 7 years of experience in administrative roles with a minimum of 3 years in a senior administrative capacity in a high paced environment
  • Strong demonstration of advanced writing, editing and communication skills in English; Spanish language skills are a strong asset
  • Superior Word, PowerPoint and Excel skills; proficient in Outlook, Teams, MS Project, Visio and SharePoint
  • Highly service-oriented individual with ability to maintain professionalism and a high level of integrity, discretion and tact while handling confidential information
  • Highly organized self-starter with proven ability to multitask under minimal supervision
  • Proficient at coordinating schedules, international travel, meetings, conferences, and events
  • Significant experience in event planning/coordination
  • Detail oriented and process driven with a strong understanding of business process; excellent planning skills and the ability to effectively prioritize competing priorities, focused on quality
  • Independent, self-motivated, able to take the initiative to liaise with other departments and/or external sources and ability to support multiple senior clients and teams
  • Ability to collaborate with others and understands how to get things done through both formal and informal channels to achieve objectives
  • Ability to thrive in a high-paced, dynamic and at times challenging work environment
  • Basic level:
  • Understanding of various filing and document management protocol and their relevant application to the business
  • Understanding of budgeting, expense account management and purchasing standards and practices
  • Knowledge and experience in the resource sector and or construction industry is required
