Consider joining the City of Edmonton as a Clerk I with the Community and Recreation Facilities branch. This clerical support position reports to the City Archivist and supports the work of the Edmonton Historical Board.

With a focus on the City of Edmonton\xe2\x80\x99s Cultural Commitments to Safe, Helpful, Accountable, Integrated and Excellent, this role will:

  • Assist with records management, schedule meetings (minutes, create and maintain agenda, reports strategic planning, contacts)
  • Ensure communications channels are active and up to date (website, email, social media, meeting live-streaming)
  • Maintaining membership lists and contacts for Board and its committees
  • Assist with the procurement process
  • Act as a backup for other clerical/administrative functions at the City of Edmonton Archives.
  • Assist with recruitment, onboarding, orientation, tracking and on-going engagement with citizen members of the Board
  • Maintain basic statistics for the annual report and for City Archivist for branch updates
  • Coordinate with Panel Chair and Senior Heritage Planner for materials on proposed properties addition to the Inventory of Historic Resources
  • Assist with nomination process for properties or sites in the plaque program as well as coordinate installation of plaques
  • Prepare bi-annual honoraria payments and expense claims
  • Cover breaks at reception (door/telephone, greeting researchers, cash handling)
  • Assist with proofreading descriptions, reports, etc. of the archivists
  • Other related duties as required
Qualifications
  • High school diploma including business subjects with emphasis on general practices or completion of an appropriate certificate program for an approved school/college
  • Some diversified clerical support experience
  • Basic social media skills - including web page editing/publishing, Facebook, Instagram, Twitter
  • Experience with basic office equipment operation
  • Word processing, data entry and associated clerical skills for office functions, practices and procedures - including arithmetic
  • Experience with scheduling meetings, events, processes (nominations, interviews) relating to the work of the Board
  • Ability to create reports, statements, documents, and basic analysis
  • Knowledge in basic filing/ records management
  • Demonstrated verbal and written communications abilities
  • Familiarity or experience with SAP Ariba, Google Suite, Word, Yellow Pencil, First Aid, OH&S, Intellex (SDMS) - Remedy (OCT / Inside Information)

Asset:
